SUBJECT: APPROVAL FOR ACTIVE DIRECTORY CONSOLIDATION
CONSULTING SERVICES IN PREPARATION FOR MOVING TO
EXCHANGE
City Council to consider approval for active directory consolidation consulting services
from EST Group for the IT Department.

Funds for this purchase are available in account 114-44540-120-1(Non-departmental
professional services) in an amount not to exceed $16,420.00.
On September 16, 2014 Council approved a request for quotes for email software which
was taken in accordance with the City's purchasing policy. Formal bids and
advertisements are not required for purchases under $50,000. Three vendors submitted
quotations: SHI, GWAVA Technologies, Inc. and EST Group. An award was made to
EST Group to install the application software through a DIR cooperative contract.
The previous purchase was for applications of email archiving, email e -Discovery and
email conversion from GroupWise to Exchange. This application allowed the IT
Department to meet new State Library Commission email retention requirements, meet
guidelines for e -Discovery as expected by courts if email e -Discovery is involved in a
lawsuit and will be used in the conversion of our GroupWise email system to Microsoft
Exchange as part of IT goals from the technology committee.
This purchase is for some additional services from EST Group to make some needed
changes to the Police Microsoft Active Directory domain and the consolidation of the
Police domain with the City domain. This preliminary work is necessary in order to
implement Microsoft Email and Microsoft servers for file storage citywide.
