HomeMy WebLinkAboutItem 14 - Janitorial Services CC ITEM #14 MEMO TO: HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL FROM: BRUNO RUMBELOW, CITY MANAGER MEETING DATE: JUNE 4, 2013 SUBJECT: APPROVAL TO RENEW A PERSONAL SERVICES ANNUAL CONTRACT FOR JANITORIAL SERVICES FOR VARIOUS CITY FACILITIES RECOMMENDATION: City Council to consider approval fort a renewal of an annual personal services contract with Regent Services fort nitorial services for various City facilities. FUNDING SOURCE: Funding for this purchase is limited to the budgeted amount by each department in an estimated amount of$220,000.00. BACKGROUND: The City's interpretation of the Texas Local Government Code 252.022. (a)(4) considers janitorial services as a personal service therefore exempting the City from competitive bid laws for this service. A resolution considering the initial contract for janitorial services was approved by Council on June 19, 2012. The contract was approved for one year, with four optional one year renewals. Regent Services has provided Janitorial Services tote City for the past four years with successful results, The City has developed a high-quality working relationship with Regent's staff and they are familiar with the expectations of the City's requirements for these services. The Facilities Services Department and Purchasing reviewed the contract for specification compliance and pricing and determined that the contract would provide the best service and pricing for meeting the needs oft City. If approved, this will be for the first renewal option oft e four available. The purpose of this bid was to establish annual fixed pricing contract for janitorial services to be performed at various City facilities. The proposed cost fort is contract represents a 1.8% increase from the past contract costs. This cost increase is a result of adding the Dove Pool Facility, therefore, increasing the square footage of all buildings from 229,472 SF to 230,542 SF.
