LIBRARY PROGRAM ROOM – 1201 MUNICIPAL WAY 6:15 pm – Gathering in Library Program Room – Meet new appointees to the Library Board (Note: Oaths administered prior to meeting) 6:30 pm – Call to Order of Library Board Meeting I. Call to Order (Lynda Brown will lead meeting prior to Election of Officers) II. Election of Officers – Positions: Library Board Chair and Secretary III. Citizen Comments (Remainder of Meeting led by new Library Board Chair) Any person who is not scheduled on the agenda may address the Board under Citizen Comments or on any other agenda item by completing a Citizen Appearance. A member of the public may address the Board regarding an item on the agenda either before or during the Board’s consideration of the item, upon being recognized by the Chair or upon the consent of the Board. In accordance with the Texas Open Meetings Act, the City Council is restricted in discussing or taking action during Citizen Comments. IV. IN ACCORDANCE WITH TEXAS GOVERNMENT CODE, CHAPTER 551.001 et seq, ACTS OF THE 1993 TEXAS LEGISLATURE, THE LIBRARY BOARD MEETING AGENDA WAS PREPARED AND POSTED THIS 24th DAY OF SEPTEMBER, 2021 AT 5 PM. LIBRARY DIRECTOR STATE OF TEXAS COUNTY OF TARRANT CITY OF GRAPEVINE The Library Board of the Grapevine Public Library of the City of Grapevine, Texas met in the Regular Session on the 27th day of September 2021 at 6:30 pm in the Program Room of the Grapevine Public Library, 1201 Municipal Way. The following members present to-wit: Lynda Brown Chairman Sonia Duque-Miyashita Member Megan Li Member Suzanne Matthews Member Gerald Shannon Member Krishna Shenoy Secretary Janee Trasler Member constituting a quorum with the following member of the City staff: Ruth Chiego, Library Director. The Library’s City Council Liaison, Darlene Freed, was also in attendance. 1. CALL TO ORDER The meeting was called order by Lynda Brown at 6:29 pm. 2. ELECTION OF OFFICERS Open to nominations. Janee Trasler nominated Lynda Brown to be the next Chair, Gerald Shannon seconded the motion. Janee Trasler nominated Krishna Shenoy to be Secretary. Gerald Shannon seconded the motion. Ayes: Unanimous Nays: None 3. CITIZEN COMMENTS None. 4. APPROVAL OF MINUTES Motion by Gerald Shannon, seconded by Lynda Brown, to approve April 19, 2021 meeting minutes. Correction to the minutes was made on page 2. The July 19, 2021 Board Meeting did not take place. This portion was revised prior to minutes approval. Ayes: Unanimous Nays: None 5. OLD BUSINESS Library Operations update given. All browsing collections continue to be open to the public. Drive through continues to be very busy. Staffing levels remain steady. Program strategy of having more sessions spread out to allow for social distancing is working well, as are new seating options that help facilitate this. 6. NEW BUSINESS 1. Library is now accepting donations. Preferred timeframes for donation drops are posted. Workflow between library and Friends seems to be working well and keeps library’s technical processing and circulation areas tidier and well organized. This also helps make it clearer which donations are still under review by staff prior to officially putting them in the Friends closet for contribution to their ongoing book sale in the Friends’ Gallery. 2. The new Sustainable Shelves program through the library’s main book vendor, Baker & Taylor, has been adopted. This program helps the library responsibly remove weeded or unwanted books from the collections and donations. The library is credited upon receipt of books by Baker and Taylor for the value of the books that are reusable. Those credits can be used to purchase more materials through Baker and Taylor. The rest are responsibly recycled. This allows for dollars from the weeded collection to directly benefit continued growth of library collections and the community. 3. The adult volunteer program has resumed. There are currently 16 volunteers with regular shifts. New roles have been established and some old roles brought back. Adjustments had to be made due to COVID precautions, new ILS (Koha), and public library standards for protection of customer information. 4. Teen Volunteer program, Volunteens, is a revamped approach that is designed to create a better experience for the teens and the Library. Among the new opportunities are Neatniks, Puppeteens, Program Peeps, Teen Think Tank, Summer Reader Leaders, Booktokkers, and Homework Helpers. All descriptions are available on the library’s web site. 5. Received a $2500 grant from Texas Book Festival to begin a Children’s Playaway collection. These are all-in-one audiobook units fit in the palm of your hand. They do not require an Internet connection or additional devices, such as headphones. They can be used in vehicles with auxillary cables but don’t require them. This is very important for customers without access to audio players. 6. eSports open house will take place on November 6, 2021. The Library Board is invited and is encouraged to join in the tours. 7. Summer program theme for Youth “Tails Tales” included a wide array of animal- themed programs including animal talks, educational programs, including STEM demonstrations, and included a new collaborative program with GCISD teachers who came to read-aloud for a weekly program called “Teacher Creature Feature”. 8. Wally Funk, regular library patron, visited the Library following her rocket ride with Blue Origin. She took photos with many customers and also was tickled by the creation of a giant card the community made for her at the library in honor of this big accomplishment. 9. Adult Summer Program included take and makes, painting instruction and reading challenges. Collaborated with GCISD and Grapevine Parks and Rec Parr Park Rock Trail for a rock painting program to help with the Guinness Book of World Records challenge. 10. Adding more board games, puzzles, coloring materials for patrons to encourage passive enjoyment of the library. 11. GROW Bus and GROW carts are very active. The library has participated in many community events, including Main Street Fest and Community Outreach events. 12. City of Grapevine Library Card Sign Up was a huge success. 13. Molly Melone (Assistant Librarian – Outreach and Youth Services) and Sarah Cooper (Library Assistant – Administration – PT) joined the library team. 7. MISC. REPORTS AND/OR DISCUSSION 1. The Friends’ Artisan Market is December 4 and 5 (flyer provided) 2. The next Board meeting is scheduled for Monday, January 17, 2022 at 6:30 pm. There was no formal action taken. 8. ADJOURNMENT Motion by Janee Trasler, seconded by Gerald Shannon, to adjourn the meeting. Meeting was adjourned at 7:52 pm.
