SUBJECT: APPROVAL TO RENEW AN ANNUAL CONTRACT FOR THE
PURCHASE OF LAMPS AND LIGHTING PRODUCTS
RECOMMENDATION:
City Council to consider approval to renew an annual contract to purchase lamps and lighting
products from Voss Lighting on an as- needed basis. Purchases will be made and inventory
maintained through the general warehouse for use by Facility Services Division. Purchases
will not exceed the annual budgeted amount for this commodity.
FUNDING SOURCE:
Funds are available in account 100 - 14111 - 000 -0, General Fund /Inventory/Warehouse.
BACKGROUND
Bids were taken in accordance with Local Government Code Chapter 252, Subchapter B,
Section 252.021 (a) and Subchapter C, Section 252.041 (a). The bid was advertised in the
Fort Worth Star Telegram on September 28, 2006 and October 5, 2006. Bids were opened on
October 13, 2006 and publicly read aloud. Council first approved this contract at the Council
meeting on December 19, 2006.
The purpose of this solicitation was to obtain competitive offers for the purchase of lamps and
lighting products that will be maintained in inventory for use by the Facility Services Division to
service City facilities.
Bid solicitations were issued to 14 vendors with four vendors responding. Voss Lighting was
the lowest overall bid. Voss Lighting bid all items requested and was low bid on 109 of the
149 items listed. All other vendors did not offer pricing on a number of items and were not low
bid on a sufficient number of items to recommend splitting of the award. The bid
specifications allowed for an initial one -year contract with four, one -year options to renew. If
approved, this would be the fourth and final renewal.
Voss Lighting has provided this service in the past with satisfactory results and agreed to
renew the contract with no increase in pricing.
