SUBJECT: APPROVAL OF BID NUMBER 360 -2011, ANNUAL CONTRACT
WITH FOUR OPTIONAL ONE -YEAR RENEWALS FOR
TRAFFIC PAVEMENT MARKING MATERIALS
RECOMMENDATION:
City Council to consider award of an annual contract with four optional one -year
renewals to Centerline Supply for the purchase of traffic pavement marking materials for
the Public Works Department, Traffic Operations Division. Annual expenditures will be
limited to the budgeted amount for these products. Bid tabulation is attached for review.
FUNDING SOURCE:
Funds for this contract are available in the following accounts 1.74 - 43301- 093 -000 Street
Maintenance /Capital Replacement/Transportation Infrastructure Maintenance in the
amount of $94,962.93.
BACKGROUND:
Bids were taken in accordance with city purchasing policy. Formal bids and
advertisements are not required for purchases under $50,000. There were 21 vendors
notified of the bid. Eight bid packages were requested by vendors. Three bids were
received (see attached bid tabulation).
The purpose of this contract is to purchase traffic pavement marking materials on an as
needed basis by Traffic Operations staff for approximately $42,181.25.
The contract will be for a one -year period with an option to renew for four additional one -
year periods.
Staff reviewed all bids received and found that Centerline Supply was the lowest
responsivelresponsible bidder meeting specifications. This vendor has provided
materials to the City on past contracts that met specifications with satisfactory results.
