SUBJECT: APPROVAL FOR THE AWARD OF BID 390-2012 FOR AN
ANNUAL CONTRACT FOR THE PURCHASE OF TREE
MAINTENANCE SERVICES ON AN AS-NEEDED BASIS
RECOMMENDATION:
City Council to consider approval of the award of Bid 390-2012 for an annual contract for
the purchase of tree maintenance services to a primary vendor, Arbor Masters Tree
Service and a secondary vendor, Preservation Tree Services for the Parks and
Recreation Department and other various departments as-needed.
FUNDING SOURCE:
Funds are available in various departmental accounts and will be available mainly in
account 100-44540-312-3 (General Fund/Grounds Maintenance/Park Maintenance) and
119-44540-312-9 (Lake Parks account) for an estimated annual expenditure of
$275,000.
BACKGROUND:
Bids were taken in accordance with Local Government Code Chapter 252, Subchapter
B, Section 252.021 (a) and Section 252.041 (a). The bid advertisement was posted June
21 and 28, 2012. The bid was opened publicly on July 17, 2012.
Through the City a-Bid system, 52 vendors were invited to bid, Two bids were
submitted. (See attached bid tabulation).
The purpose of this bid is to establish annual fixed pricing for tree maintenance services
on an as-needed basis. Staff recommends awarding the annual contract for Bid 390-
2012 to Arbor Masters Tree Services who is the lowest responsive and responsible
bidder. The contract will be used by various departments as-needed.
Staff also recommends awarding a secondary contract to the next lowest responsive
and responsible bidder, Preservation Tree Services, to avoid delays if primary vendor is
unable to respond in a timely manner.
Staff recommends approval.
