APPROVAL TO AWARD A RENEWAL OF AN ANNUAL
CONTRACT OF BID 341 -2010 FOR PLANTS AND TREES
PURCHASES
City Council to consider approval to award a renewal of an annual contract for Bid 341-
2010 to Cole Construction, Fannin Tree Farm, Southwest Wholesale Nursery, and
Unique Landscaping Design & Construction Inc., that established fixed annual pricing for
plant and tree purchases. Annual expenditures will be limited to the budgeted amount
for this service.
FUNDING SOURCE:
Funds will be limited to the budgeted amount for account 100 -42205 -312 -3 General
Fund/ Grounds Maintenance/ Park Maintenance $20,000.
BACKGROUND:
Bids were taken in accordance with Local Government Code Chapter 252, Subchapter
B, Section 252.021 (a) and Section 252.041 (a). Notice to bidders was published in the
Fort Worth Star Telegram on May 27, 2010 and June 3, 2010. The bid was opened on
June 11, 2011.
The purpose of this bid was to establish annual fixed pricing for purchases of trees and
plants. This contract has allowed the Parks staff to increase and continue their excellent
reforestation projects to beautify the City. Their efforts have allowed the City of
Grapevine to be honored as a Tree City USA city for over 25 years.
Invitations to bid were issued to seven vendors with five vendors responding. Council
approved awarding all items to the lowest bidder on July 20, 2010. Cole Construction,
Fannin Tree Farm, Southwest Wholesale Nursery, and Unique Landscaping Design &
Construction Inc. have all provided service in the past with satisfactory results. The
contract was for a one -year period with an option to renew the contract for four
additional, one -year periods. If approved this would be for the first contract renewal
period starting on July 19, 2011.
Staff recommends renewal of an annual contract for Bid 341 -2010 Cole Construction,
Fannin Tree Farm, Southwest Wholesale Nursery, and Unique Landscaping Design &
Construction Inc., that established fixed annual pricing for Plant & Tree Purchases.
