SUBJECT: APPROVAL OF A RESOLUTION TO PURCHASE A WORK
ORDER SOFTWARE SYSTEM FOR FACILITY SERVICES
RECOMMENDATION:
City Council to consider approval of a resolution to purchase a work order software
system from Facility Wizard Software as a sole source in the total amount of
$23,380.00.
FUNDING SOURCE:
Funds are available in account 174-74004-018-000 Street Maintenance/Capital
Replacement/Service Center Storage Area.
BACKGROUND:
This purchase will be made as a sole source and is exempt from the bidding
requirements of Chapter 252, Sub Chapter 252.022 (a) (7) (A).
The current Facility Services software does not have a module specific to facility
maintenance and it would not be cost effective to custom write a program. Staff has
evaluated several software programs specific to facility maintenance. The application
program found to be best suited for a work order environment is the Workorderama
Software System from Facility Wizard Software. This program offers a number of
features required by Facility Services and offers the customization needed to help Staff
configure a program to its specific needs. The application offers better database
management, system reliability, increased productivity, improved reporting, improved
communication and expandability.
Facility Wizard Software is the sole provider of the Workorderama Software System and
the software is proprietary to Facility Wizard Software.
Staff recommends approval of the resolution to purchase the Workorderama Software
System from Facility Wizard Software in the total amount of$23,380.00.

RESOLUTION NO.
A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF
GRAPEVINE, TEXAS, MAKING FINDINGS OF CERTAIN
FACTS RELATIVE TO THE PURCHASE OF A WORK
ORDER SOFTWARE SYSTEM AND AUTHORIZING THE
CITY MANAGER TO EXECUTE SAID CONTRACTS AND
DOCUMENTS AND PROVIDING AN EFFECTIVE DATE
WHEREAS, the City of Grapevine Facility Services Division is in need of a work
order software application to process City wide work orders; and
WHEREAS, City Staff has reviewed work order systems and found the
Workorderama Software System provided by Facility Wizard Software is the system that
would provide the best solution to the requirements of the Facility Services Division; and
WHEREAS, Facility Wizard Software is the only vendor that has proprietary license
to and is the only source supplier of the Workorderama Software System and thus, is
exempt from the bidding requirements allowed by Chapter 252, Sub Chapter 252.022 (a)
(7) (A).
NOW,THEREFORE, BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY OF
GRAPEVINE, TEXAS:
Section 1. That all matters stated in the above preamble are true and correct and
are incorporated herein as if copied in their entirety.
Section 2. That the City Council of the City of Grapevine authorizes the purchase
of the Workorderama Software System from Facility Wizard Software for a total order
amount not to exceed $23,380.00.
Section 3. That the City Manager, or his designee, is authorized to take all steps
necessary to consummate the purchase.
Section 4. That this resolution shall take effect from and after the date of its
passage.
PASSED AND APPROVED BY THE CITY COUNCIL OF THE CITY OF
GRAPEVINE, TEXAS on this the 15th day of September, 2009.
