HomeMy WebLinkAboutItem 09 - Electrical Pedestals ITEM MEMO TO: HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL FROM: BRUNO RUMBELOW, CITY MANAGER MEETING DATE: AUGUST 4, 2009 SUBJECT: APPROVAL OF THE PURCHASE OF ELECTRICAL PEDESTALS FOR CITY FESTIVALS AND THE RESOLUTION THAT RATIFIES THE PURCHASE RECOMMENDATION: City Council to consider award of a purchase order to Electrical Materials Company for the purchase of 62, 60-amp and 62, 100-amp pedestals in the total amount of $22,010 and approval of the resolution that ratifies the initial purchase. FUNDING SOURCE: Funds are available in account 178-78102-013/Capital Projects Streets/Main Street/Pedestrian Improvements. BACKGROUND: This purchase is for 62, 60-amp and 62, 100-amp pedestals to be used as temporary site service equipment along Main Street during City sponsored festivals. The pedestals will allow festival vendors and participants to access electrical power for exhibits, booths and other presentations. The pedestals will be connected to electrical services located in underground pull boxes along the center of Main Street. They will be installed specifically for the festival vendors and then removed after the festival. In accordance with City Purchasing Policy, Staff solicited and received three written quotations for this purchase. Because the pedestals require delivery and installation before the September Grapefest Festival, vendor lead times were a consideration when the quotations were reviewed. The lowest quote received was from Summit Electric Supply. However, this vendor had a 75 working day lead time and could not guarantee delivery in time for installation before the September festival. The second lowest quote was from Electrical Materials Company. This company confirmed that they can deliver the pedestals within the time frame required. In order to insure delivery of the pedestals in time for the September festival, Staff placed the order with Electrical Materials Company. A copy of the bid tabulation is attached for review. S e® 00. oe e o e § / E w 0-w 2 /' RESOLUTION NO. `V A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF GRAPEVINE, TEXAS, MAKING FINDINGS OF CERTAIN FACTS RELATIVE TO THE RATIFICATION OF STAFF ACTION TO PURCHASE ELECTRICAL PEDESTALS FOR MAIN STREET FESTIVALS AND AUTHORIZING THE CITY MANAGER TO EXECUTE SAID DOCUMENTS AND PROVIDING AN EFFECTIVE DATE WHEREAS, the City of Grapevine is in need of electrical pedestals to be used during City sponsored festivals; and WHEREAS, Electrical Materials Company can deliver the pedestals within the time frame required for the September 2009 festival; and WHEREAS, in order to insure delivery of the pedestals, City Staff placed an order for the following: 62 Each 60 Amp Un-metered Pedestals $157.00/Ea. 62 Each 100 Amp Un-metered Pedestals $198.00/Ea. NOW,THEREFORE, BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY OF GRAPEVINE, TEXAS: Section 1. That all matters stated in the above preamble are true and correct and are incorporated herein as if copied in their entirety. Section 2. That the City Council of the City of Grapevine ratifies Staff action to issue a purchase order to Electrical Materials Company in a total amount not to exceed $22,010.00. Section 3. That the City Manager, or his designee, is authorized to take all steps necessary to consummate the contract and purchase. Section 4. That this resolution shall take effect from and after the date of its passage. PASSED AND APPROVED BY THE CITY COUNCIL OF THE CITY OF GRAPEVINE, TEXAS on this the 4th day of August, 2009.
