HomeMy WebLinkAboutItem 20 - Geographic Information Software i s .ENti MEMO TO: HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL FROM: BRUNO RUMBELOW, CITY MANAGER 9- MEETING DATE: OCTOBER 20, 2009 SUBJECT: APPROVAL OF A RESOLUTION FOR RENEWAL OF A MAINTENANCE AGREEMENT FOR ALL GEOGRAPHIC INFORMATION SOFTWARE RECOMMENDATION: City Council to consider approval of a resolution to renew a maintenance agreement with ESRI, Inc. as a sole source provider for the City Geographic Information Mapping System software. The total annual cost of this agreement is $35,000. FUNDING SOURCE: Funds for this expenditure are currently available in account 200-44540-533-1 Utility Enterprise Fund/Professional Services/Administration. BACKGROUND: This procurement will be made as a sole source in accordance with Local Government Code Chapter 252, Subchapter B, Section 252.022 (a). This request is to renew the current maintenance agreement to support the software modules that operate as part of the City Geographic Information Mapping System. This contract will provide upgrades and technical support to the system at no additional cost. ESRI, Inc. is the sole source provider of maintenance for these items. The renewal contract is for one year from October 31, 2009 to October 30, 2010. Staff recommends approval to renew the maintenance agreement with ESRI, Inc. in the total annual amount of$35,000. CD October 1,2009(11:16AM) RESOLUTION NO. �ti\) 9o�C A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF GRAPEVINE, TEXAS, MAKING FINDINGS OF CERTAIN FACTS RELATIVE TO THE PURCHASE OF A MAINTENANCE AGREEMENT; DETERMINING THAT THE MAINTENANCE IS AVAILABLE FROM ONLY ONE SOURCE AND AUTHORIZING THE CITY MANAGER TO EXECUTE SAID CONTRACTS AND DOCUMENTS AND PROVIDING AN EFFECTIVE DATE WHEREAS, the City of Grapevine desires to cover the following software under a maintenance agreement: Software maintenance for the City Geographic Information Mapping System at a total annual cost of$35,000; and WHEREAS, ESRI, Inc. is the current supplier of maintenance for the software. NOW,THEREFORE, BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY OF GRAPEVINE, TEXAS: Section 1. That all matters stated in the above preamble are true and correct and are incorporated herein as if copied in their entirety. Section 2. That the City Council of the City of Grapevine authorizes the purchase of a maintenance agreement to cover the listed software for a total not to exceed $35,000. Section 3. That the City Manager, or his designee, is authorized to take all steps necessary to consummate the purchase of said maintenance agreement. Section 4. That this resolution shall take effect from and after the date of its passage. PASSED AND APPROVED BY THE CITY COUNCIL OF THE CITY OF GRAPEVINE, TEXAS on this the 20th day of October, 2009.
