STATE OF TEXAS COUNTY OF TARRANT CITY OF GRAPEVINE MINUTES The Grapevine Convention&Visitors Bureau Board of Directors met on Thursday, February 20, 1997 at the Wallis Building, One Liberty Park Plaza, Grapevine, Texas with the following persons in attendance: Phil Parker Acting Chairman Gary Blagg Board Member Bill Brink Board Member Colin Ankersen Board Member Steve Trent Board Member Kathee Livengood Board Member Gary Blagg Board Member Paul W. McCallum Executive Director George Kakos Director of Sales & Marketing Jerry Pittman Council Liaison Absent: Don Bigbie Chairman Gayle Hall Hemingway Board Member Warren Dearing Board Member Wanda Blagg Chamber Liaison Trent Petty City Manager CALL TO ORDER Acting Chairman Phil Parker called the meeting to order. APPROVAL OF MINUTES A motion to approve the minutes from the January 16, 1997 Board Meeting was made by Bill Brink; seconded by Steve Trent. Motion carried. OATH OF OFFICE Kathee Livengood took her oath of office. OLD BUSINESS Chicago Sales Promotion Update- Mr. Kakos reported of a very successful sales mission to Chicago. Forty one sales calls were Advisory Board Meeting February 20, 1997 Page 2 of 3 completed in downtown and the suburbs resulting in a total of 17 potential hot leads. The Valentines promotional dinner was held in Oakbrook with 138 attendees, of which 43 were first time attendees to the event. He said the wine bottle promotional item was very well received and would also be used for the New York Sales Promotion. New Vintage Update- Mr. McCallum reported that planning for the New Vintage Festival was progressing well. The Blessing of the Vine will be held at LaBuena Vida. He said Thursday and Friday events would include visual wine tastings and the 2nd Great Taste of Grapevine sponsored by the Grapevine Chamber of Commerce. The Brunch will feature all female chefs. Shuttles will be offered to the Winery Tasting Rooms, hotels and the Main Street District. An art show will also be added to coincide with the dedication of the Night Watchman Statue at City Hall on Saturday night. NEW BUSINESS New York Sales Promotion- Mr. McCallum reported that planning for the New York Sales Promotion was well underway. There will be two events comprising the New York Sales Promotion. On Thursday, March 13 there will be a reception/luncheon in New York for wine and food writers. On Friday, March 14 the Corporate Meeting Planners promotion will be held at the Tribeca Grill. The Tribeca Grill will allow for more space to sell Grapevine, and will result in a new and improved approach. A letter of invitation and itinerary has been mailed to Board and Council. The meeting planners will receive three direct mail pieces backed up by a telemarketing blitz. SALES AND MARKETING REPORT Mr. Kakos stated that Javier Rodriguez recently participated in the International Travel Show in McAllen, Dan Diepert Travel Show in Arlington, Houston Travel Show and Expo Vacaciones in Mexico City with American Airlines. Mr. Rodriguez is producing a brochure in spanish for American Airlines to distribute in South America. Mr. Kakos reported that the Convention Center was at 75% of their annual revenue goal. Grapevine Mills will be a co-sponsor for the Texas Travel Counselors Conference in Arlington in April. A sales familiarization tour of local corporate meeting planners will be conducted during New Vintage. (lov Board of Directors Meeting February 20. 1997 Page 3 of 3 EXECUTIVE DIRECTORS REPORT - The CVB has two new employees, Chris Williams, Facilities Worker and Becky Love, receptionist/secretary. - A site visit was made with the City Manager to California to meet with the Ontario Mills Mall marketing personnel and the Sega Game Works Corporation, who are planning a facility in the Grapevine Mills Mall. As a result of the trip to Ontario Mills, it was determined that the RFP for signage at Grapevine Mills needs to be reworked. - A marketing retreat was held recently with Tarantula staff. Tarantula is considering 2 rims a day in the near future and the possibility of purchasing additional equipment to handle increased ridership. -The Palace Theatre experienced its first Classic Concert Series sell out with a recent Van Clibern piano contestants performance. - A light was recently installed on the Wallis Building to illuminate the Walking to Texas Fountain and Sculpture. ADJOURNMENT There being no further business to bring before the Board, Acting Chairman Parker called for a motion to adjourn. Motion was made by Gary Blagg; seconded by Bill Brink.
