ADJOURNMENT U . „ sr t{ 3 + I L� J* I u is STATE OF TEXAS COUNTY OF TARRANT CITY OF GRAPEVINE MINUTES The Grapevine Convention &Visitors Bureau Board of Directors met on Thursday,December 17, 1998 at the Visitor Information Center, 701 South Main, Grapevine, Texas with the following persons in attendance: Don Bigbie Chairman Gary Blagg Board Member Philip Cloud Board Member Kathee Livengood Board Member Phil Parker Board Member tBill Brink Board Member Robert Thrailkill Board Member Paul W. McCallum Executive Director ' Darlene Freed Council Liaison Absent: Steve Trent Board Member George Kakos Director of Sales &Marketing CALL TO ORDER ' Chairman Don Bigbie called the meeting to order and welcomed members of City Council. APPROVAL OF MINUTES ' A motion to approve the minutes from the October 22, 1998 Board Meeting was made by Bill Brink, seconded by Kathee Livengood. Motion carried. OLD BUSINESS Audit Report- Mr. McCallum reported the audit was now complete and accepted by the Foundation Board. Mr. McCallum reported the Foundation finances were found to be in good order by the audit firm. Don Bigbie thanked Angela Porter for her hard work with the auditors during this long process. Delegate Spending Survey Report- Mr. McCallum reported that National Service Research was commissioned to conduct a study of visitors to Grapevine to measure daily expenditures of convention delegates and day visitors. He stated 600 interviews were conducted at Grapevine restaurants, the Convention Center and Grapevine Mills mall. A copy of the final report was distributed to the Board. He outlined results of the report in the categories of primary trip purpose, day and overnight visitor and number of days and nights in Grapevine. Other categories covered in the survey were overnight- visitors location of stay, daily room rate, daily expenditures, group size, sites visited and city/state of origin. OU IL Board of Directors Meeting December 17, 1998 111 Page 2 of 2 IISales and Marketing Report- Mr. McCallum reported the following sales, marketing and communications statistics for the 4 year: Site Inspections: I Convention Groups 19 Tourism 23 Meeting Planners FAMS: 2 UQualified Sales Leads: 133 Economic Impact of Leads: $ 8,358,010 Assisted Booked Business: $ 15,050,452 II Motorcoach Tours: 668 Visitor Development: Brochure Distribution 1,045,799 III Web Site Visits 80,511 Communications Print: $ 488,501 Communications Electronic: $ 1,168,350 Ity Convention Services Economic Impact: $ 13,547,212 Visitors: 153,282 Volunteer Hours: 3,787 II Mr. McCallum recognized the following employees for 10 years of employment with the I Grapevine Convention& Visitors Bureau; Jill Jeffcoat, Nick Rameriz, Tom Wayne, Eloise Koehn and Kathi Berry. IEMPLOYEE OF THE YEAR Mr. McCallum recognized both Rusty Hernandez and Michael Woody as Employee of the Year. He praised them for their work ethic, productivity and profitability. IADJOURNMENT There being no further business to bring before the Board, Chairman Bigbie called for a motion to I adjourn. Motion was made by Phil Cloud; seconded by Robert Thrailkill. Motion carried.
