ADJOURNMENT C, STATE OF TEXAS COUNTY OF TARRANT CITY OF GRAPEVINE MINUTES The Grapevine Convention& Visitors Bureau Board of Directors met on Thursday, February 25, 1999 at the Convention &Visitors Bureau, One Liberty Park Plaza, Grapevine, Texas with the following persons in attendance: Don Bigbie Chairman Gary Blagg Board Member Philip Cloud Board Member Kathee Livengood Board Member Bill Brink Board Member Robert Thrailkill Board Member Darlene Freed Council Liaison Paul W. McCallum Executive Director George Kakos Director of Sales & Marketing Absent: Phil Parker Board Member Steve Trent Board Member Cof CALL TO ORDER Chairman Don Bigbie called the meeting to order and welcomed Cpt. Johann-Paul Brunner from Krems, Austria. Chairman Bigbie presented a plaque and recognized Gayle Hall for her time on the board. Ms. Hall resigned to become a full-time staff member of the Convention & Visitors Bureau. APPROVAL OF MINUTES A motion to approve the minutes from the January 28, 1999 Board Meeting was made by Bill Brink, seconded by Gary Blagg. OLD BUSINESS Facilities Update- Mr. McCallum reported that on February 2nd the city council approved the engagement of Hok Architects, Inc. out of Dallas to: 1) Create a master plan for the convention center site in conjunction with the expansion of the library. 2) Develop the most efficient expansion plan. 3) Cost out an expansion plan. We have had two meeting with them already and expect a report in about 90 days. The library will expand to the east with the entrance on that side. Recap of Chicago Sales Promotion- Marcy Roitman presented the recap of the Chicago Sales Promotion stating it was the best Chicago Promotion ever. There were 162 RSVP's; 133 in attendance including 72 meeting planners; 52 appointments scheduled; 50 appointments completed; 4 leads which have already been sent contracts representing 3,500 room nights and 15 more leads in the pipeline. Update on New York Sales Promotion- George Kakos shared the series of invites for the New York Sales Promotion. We will follow with a phone blitz. The Tapaika Restaurant is the venue. The goal for this year is 100 planners and the sales team is in the process of setting sales appointments. The Edmondsons and the Butt Sketch artist will attend again this year. The New York Promotion is an afternoon event for planners only and affords more opportunity to sell Grapevine at the event. NEW BUSINESS Date for June Board Meeting- (111, The date for the June Board Meeting was changed from June 17th to June 24th by consensus. Grand Opening -Bass Pro Outdoor World- Michael Woody shared that the Grand Opening for Bass Pro is scheduled for April 8th. He is working with the local and corporate Bass Pro people on the opening. The soft opening is on March 25th at which time we'll host a one-day media FAM. Media folks from our drive market (within a 200 mile radius) will be our guests at a breakfast at the Visitor Information Center, a press conference and ribbon-cutting at Bass Pro, lunch, a driving tour of Grapevine and a reception at Delaney Vineyards that will highlight the New Vintage Festival. He is sending 150 invitations and looking for 15 - 20 writers. He is also working with Fort Worth magazine on an article on Bass Pro for their April issue. Area Hospitality Training- Mr. McCallum shared that GCISD will be building a new middle school north of NW Highway with TIF funds and that several ideas have arisen regarding the present middle school property. One idea, originating with Councilperson Clydene Johnson is for a training facility for the hospitality industry. There is a desire to keep an educational facility here as it is in the area of the original Grapevine College. At this point there is a need for a feasibility study for that property and this type of institution. Currently there are seven programs in the metroplex, most of which train travel agents and personnel for the airlines. Discussion followed. A motion to approve in principal and funds up to $ 10,000 to do the research on the feasibility of such an institution. The research would include funding sources available and chartering of said institution. The motion was made by Phil Cloud and seconded by Bill Brink. Motion carried. Dedication of Visitor Information Center- Mr. McCallum shared that Texas Independence Day, March 2nd from 2 pm - 7 pm would be the Open House and Dedication of the Visitor Information Center with the program at 4 pm. He encouraged all the board members to be there if possible. SALES AND MARKETING REPORT George Kakos reported that Opryland is operating a Grapevine sales team out of Nashville. The first group, American Bus Association, is looking at meeting over their opening dates. Their opening is scheduled for late February or early March, 2003. Opryland is working with several industry groups, i.e. International Association of Exposition Managers, ASAE etc. Grapevine will get good exposure through these groups. Mr. Kakos also reported that the Visitor Information Center had 10,065 visitors in January and that 504 were international visitors. He shared an article which appeared in Turismo USA magazine.
