McCallum Executive Director George Kakos Director of Marketing Absent: CALL TO ORDER Chairman Bigbie called the meeting to order. APPROVAL OF MINUTES A motion to approve the minutes from the March 30, 2000 Board Meeting was made by Steve Trent and seconded by Kathee Livengood. Motion carried. ` SALES AND MARKETING REPORT George Kakos reported that there were 8 tourism group sales leads and 3 booking in March, sales division booked 3,300 room nights, 7 conventions were serviced, 13,000 visitors were assisted and 50,000 brochures were distributed. Marcy Roitman attended Affordable Meetings West in San Jose on April 18-19. 90 meeting planners visited the booth and to date one lead has been generated from this show. Dallas Morning News has done a feature article on Grapevine in the Guide due out tomorrow. The Spring FAM is coming together with 11 meeting planners committed to date. The goal is 15 planners. The familiarization tour will take on a different format this year with a Safari theme. Attendees will have a choice of options during part of the weekend. Saturday night will be a dine-around with each property hosting part of the dinner. if Pow Wow fam tours will be in on May 13th and 14th. OLD BUSINESS New Vintage Recap j Attendance exceeded 8,500 and approximately$ 26,000. was raised for the Public Art bU This year we added wine maker dinners at the Hilton,Hyatt and Embassy Suites. There story coming out on Chef Tom O'Brien at the Embassy Suites. There were 24 restaurantW.,sp ' wineries represented at the Women's Division Great Taste on Thursday. Saturday's Food . .. Wine Pairings Lunch was a sell-out at 130 people where the Art Institute of Dallas' CulinaryottwA School prepared the meal. The New Vintage Wine and Art Festival was a success and the new activities were a great addition. The tourism division did an accommodations package in connection with the New Vintage Festival that generated room nights for our smaller properties. AmeriSuites picked up 30 room nights and Baymont 10. In addition 5 future leads have been generated for group business for GrapeFest. Marketing Committee Update Phil Parker thanked the board members and hotel personnel who served on this committee. Mr. Kakos reported that the committee has made its recommendations for the FY 2000-01 budget. 1(0 ASAE, Springtime in the Park(Washington,DC) and Springtime on the Pier(Chicago Navy Pier) are three new shows being added. Sales missions for next year will be expanded to include 4' Minneapolis, Washington DC and the west coast. Also, focus on the DFW area will be expanded. Advertising dollars to go to direct sales rather than magazine ads. We will use telesales to prospect so that staff sales managers have more time to work the leads. Staffing needs for the next budget year will include an additional sales manager, a web master, a housing manager and several part-time Visitor Information Center workers. Hotel Alliance Update Grapevine and Irving are pursuing a joint cooperative effort to separate us out from the rest of the Metroplex. We will do some "branding"joint marketing for our area. We will also move in the direction of forming a marketing alliance of Grapevine and Irving hotel properties. Irving is planning to build their new 200,000 sq. ft. Convention Center in Las Colinas with a 500 room anchor property. There will be approximately 11 miles between the Irving Convention Center and the Opryland Convention Center. B.R. Wall Statue Update The B. R. Wall bronze statue will be dedicated at GrapeFest. There are only two foundries in this area that can handle life-size statues. One is working on the Citizen Soldier project and the other is working on the Night Watchman statue for our Sister City, Krems Austria. We have added new arts and crafts as well as entertainment. Eric Burden , ' Animals will be the lead act on Friday night and LeRoy Parnell will be the lead act on °:r L f. -, II night.
