ADJOURNMENT State of Texas County of Tarrant City of Grapevine MINUTES The Grapevine Convention & Visitors Bureau Board of Directors met on Thursday, May 19, 2005 at the Wallis Building, Grapevine, Texas with the following persons in attendance: Don Bigbie Chairman Ev Barnes Board Member Bill Brink Board Member Philip Cloud Board Member Kathee Livengood Board Member Paul Slechta Board Member Steve Stinson Board Member Darlene Freed Council Liaison Pat Stinson Heritage Foundation Ron Stacy Grapevine Chamber Paul W. McCallum Executive Director George Kakos Assistant Executive Director 40, Absent: CALL TO ORDER Chairman Bigbie called the meeting to order. STAFF INTRODUCTIONS Mr. McCallum introduced new staff members, Nancy Corkern and Phil Kennewell, and Kira Cha, summer intern. Nancy fills the position of tourism sales manager and will work with both international and domestic markets and with the sister city program. Phil fills the marketing director position. Kira will be a summer intern with the festivals division. APPROVAL OF MINUTES A motion to approve the minutes from the April 21st meeting was made by Bill Brink and seconded by Ev Barnes. Motion carried. HOTELS/ATTRACTIONS REPORT Mr. McCallum reported • Comfort Suites received a final CO as well as Forever in Season, Modern Art and Home and Texas by Design. • Lucky Strike Bowling Alley is opening near the Dr. Pepper Ice Rink. • New restaurants include Boston's and Buffalo Wild Wings. The Board of Directors Meeting May 19, 2005 Page 2 of 3 HOTELS/ATTRACTIONS REPORT cont. • La Bodega is opening a second tasting room located in Terminal D. • Underwater World and Vasquez's Grill have submitted conditional use requests. • Guinevere's restaurant is open on West College Street. At this time it is open for lunch. • Wings to Go has changed its name to Lazy Bones. • Neil Wright, train general manager, has secured passage across the BNSF lines and is working on UP. • The engine plaque from engine 771 has been retrieved from Houston through an assist from the Grapevine Police Department. • Tom Smith has been promoted to the general manager of Hyatt Hill Country Resort. Larry Daniels is the new general manager of Hyatt Regency DFW. Larry comes from the Hyatt in New Brunswick, NJ. • Mr. McCallum shared a letter from Jerry Delaney regarding New Vintage. SALES AND MARKETING REPORT Mr. Kakos reported for the month of April that the convention sales division produced 34 leads representing 34,236 potential room nights. The team assisted with 12 definite Coo groups representing 4,446 room nights distributed amongst 8 properties. The team conducted 4 site inspections and participated in Affordable Meetings in Chicago and NEMICE in Boston. Tourism sales produced 2 leads representing 135 attendees, assisted 8 definite groups representing 313 attendees. Staff participated in the Texas Travel Counselor Conference and Choice Hotels Travel Agent Fam. Destination Services assisted 16 groups representing 24,820 attendees. During the month 42,868 brochures were distributed and 38,361 visitors were assisted at the Visitor Information Center. The Convention Center booked 38 events representing 7,740 attendees. The Grapevine Vintage Railroad carried 31,563 passengers for the month that included 11 field trips, 2 charters and 73 special promotional runs. Visits to the Grapevine Vintage Railroad website totaled 29,072 and visits to the general site numbered 32,867. Public Relations generated $79,672.92 in print and $11,375.24 in electronic media coverage. OLD BUSINESS American Bus Association (ABA) Update Mr. McCallum reported that ABA is one of the most important conferences we will host in Grapevine for a growing motorcoach business. Thursday we will go to Austin to obtain the state's involvement. This Marketplace on January 28 — February 1, 2007 will be the first held west of the Mississippi. Gaylord will be the headquarter hotel and 3,000 attendees are expected. The theme is "Big Texas Adventures." Grapevine will host the Cr final evening event on February 7, 2006 in Nashville. Both the host committee and the evening events committee have met. There are three evenings to be hosted. Fort Worth is committed for one evening, Dallas has been approached for one evening and area CVB's for the third evening. riory Board of Directors Meeting May 19, 2005 Page 3 of 3 OLD BUSINESS cont. American Bus Association (ABA) Update cont. Jef Russell is working on sponsorships. We are also working on pre-convention fam tours with possible origination points of Tulsa, New Orleans, San Antonio and Midland Odessa. Main Street Days Update Mr. McCallum reported that events will include the "Main Street to the World" area, seven stages of entertainment, shuttles to the wineries, hand car races, family fun area and wine areas. Board and council are invited to participate with the convention sales fam on Friday from 4:30 — 6:30 at Silver Lake Marina and Sunday for breakfast at the Hyatt Regency DFW. They are invited to participate with the tourism sales fam on Saturday evening at Love and War in Texas. NEW BUSINESS Heritage Foundation Representative Mr. Bigbie stated that Bill Brink has been our liaison to the Heritage Foundation for many years and done an excellent job. He asked for volunteers to replace Bill as representative to that board. Ev Barnes volunteered to take the position. REPORTS Heritage Foundation Pat Stinson reported that the Heritage Foundation will have a booth at Main Street Days. They hosted the Deacon House Dedication last Saturday. The house is priced for sale at $190,000. The Will Rogers Follies are being put on by the Runway Theatre starting May 25th for 5 days. The date for the Jubilee is November 11 at Austin Ranch. Chamber of Commerce Ron Stacy reported that the Chamber is ready to move forward and promote business and the City of Grapevine.
