McCallum Executive Director George Kakos Assistant Executive Director Absent: CALL TO ORDER Don Bigbie called the meeting to order. APPROVAL OF MINUTES A motion to approve the minutes from the January 15th meeting was made by Kathee Livengood and seconded by Paul Slechta. Motion carried. HOTELS/ATTRACTIONS REPORT Mr. McCallum shared the following: • Vickie Truitt will sit at our table at the Unity Dinner next week in Austin. Jane Nelson will be at the head table but will stop by the Grapevine table. • New restaurant in town is Ritzies on an out parcel at Grapevine Mills. • The Fiat car club turned in a very detailed follow-up report from their grant. • Darlene Freed reported that she and Roger Nelson met with Jim Crites from the Airport regarding the aviation museum. The site they are considering is adjacent to UPS. Airport personnel are getting close to a public announcement regarding the museum. • The Hyatt Regency DFW is near completion of their 32 million-dollar renovation. L,,, They have opened the new check-in area and are now working on the north end of the lobby level. April 1st they plan to start on the meeting rooms and finish off the ground floor. The Board of Directors Meeting tro February 19, 2004 Page 2 of 4 HOTELS/ATTRACTIONS REPORT cont. • Michael Stephens, Director of Operations, is transferring to the Hyatt in Lexington, Kentucky. • Staff will participate in a Mayor's Economic Development / Tourism Task Force in Parras this weekend. They are looking at the product including rock climbing, mountain biking, caving, festivals, etc. and will help to develop an action plan. This will be revisited in six months. • Mr. McCallum shared the B. R. Wall mockette, which depicts the former mayor in his mid-to-late 50's. The statue will stand by the flag poles at City Hall and look south down Main Street. The statue will be dedicated at Main Street Days. • Heather Kisabeth started Wednesday as our tourism sales manager and immediately went to participate at the Kansas Sports Show. She comes from Wichita, Mobile, AL, and most recently Lewisville. Her expertise is packaging. • Mr. Bretches reported that the Hilton Garden Inn site by the Embassy was declined however the one on 114 in the Southlake area was approved. SALES AND MARKETING REPORT Mr. Kakos shared highlights from the month of January. The convention sales division produced 24 leads representing 22,710 potential roomnights. The team assisted in closing 12 groups representing 11,110 roomnights. Staff attended the Healthcare Exhibitors Association convention committee meeting. Convention Services provided registration and information assistance to 4 groups representing 1,450 delegates. We are expanding our registration assistants' programs. Tourism division published five leads representing 358 attendees and 208 potential roomnights and assisted with 3 definite bookings representing 208 roomnights. The Convention Center booked 51 groups representing 6,568 attendees. The Grapevine Vintage Railroad did not operate during January due to the rebuild of the steam engine. The train web site had 4,352 visits and the CVB web site had 2,602. Communications had $125,951 in print media and $120,983 in electronic media coverage. Dallas-based MPI and American Express projects a positive outlook for 2004 in their Futurewatch 2004. They predict an average 4% growth in spending and revenue. Increased Internet use continues as planners indicate they expect to use it 20% more to research venues on top of an increase of 23% in 2003. Tourism staff attended American Bus Association and we will host that group in Grapevine in February of 2007. Staff also participated in the Bank Travel Network, the Kansas Sports Show, and the Houston Travel and Leisure Show. Convention Sales participated in the I Love New York show. Staff hosted the Valentines Day Promotion in Chicago for 100 - 150 attendees and brought back 7 leads. The Board of Directors Meeting February 19, 2004 Page 3 of 4 OLD BUSINESS Capital Projects Report Mr. McCallum reported that Tower 16 is complete except for painting. In the pole barn area, former farmers' market, work is underway on the foundry and glass works studio. The bureau received a certificate of appropriateness from the Historic Preservation Committee for the new Farmers' Market. Mr. McCallum shared working drawings of the Farmers' Market with the board. The Grapevine Garden Club will host their plant sale as the first event in the new Farmers' Market. NEW BUSINESS Gaylord Appreciation Gala Gaylord has made a 520 million-dollar investment including a 400,000 sq.-foot convention center. The Gaylord Appreciation Gala will be the community recognition of their contribution to Grapevine. Space availability has limited the attendance, which will include 42 participants from Gaylord. The program will tie back to the June 2000 Groundbreaking. New Vintage FAMS(ilar - rd Mr. McCallum shared that the New Vintage Wine Trail is set for April 2nd 3rd. The weekend April 2, 3, and 4 will be a soft opening of Gaylord with media, tourism, and sales familiarization tours. The media fam is titled the New Vintage Wine Trail "From Start to Finish" and will include the Gaylord opening. The tourism division will host a bank travel fam and will be using the limited service properties. The sales division is hosting mostly local meeting planners. We will also have a small delegation from our Sister Cities. The Jazz Wine Train will be April 2nd and we will bring all the groups together on Saturday night. We may request assistance from board members with our Sister City delegations. REPORTS Chamber of Commerce Ronny Nordling reported that February 27th will be Mardi Gras at Paradise Cove. Proceeds of this event will help pay off the debt on the building. Board elections will be in March. There will be 24 restaurants participating in the Great Taste on April 1st at the Grapevine Convention Center. Tickets are $20. Heritage Foundation Pat Stinson reported that the Heritage Foundation will honor Ted Willhoite, a charter member of the Foundation, by commissioning a bronze plaque with his likeness to be displayed on the barn at Nash Farm. The Foundation has "sold out"two dinner and a movie events. On Texas Independence Day the Light Crust Dough Boys will be at the Lor Palace. There will be a St. Pat's event and the Volunteer Appreciation Dinner will be on March 19th. Yesterday, Ron Stacy and Balla Wright were sworn in as new business board members. The Board of Directors Meeting February 19, 2004 Page 4 of 4 ADJOURNMENT In closing Steve Stinson shared a note from Foley regarding an AMTRYKE that was donated to a child there and the impact that it has already made for this family. Phil Cloud mentioned that the Grapevine CVB team won first place in the "open category" at the AMBUCS Bowling tournament which raised over$4,500 for AMTRYKES.
