McCallum Executive Director George Kakos Assistant Executive Director Absent: Don Bigbie Chairman (60 Pat Stinson Heritage Foundation CALL TO ORDER Kathee Livengood called the meeting to order for Mr. Bigbie, who was in Peru. APPROVAL OF MINUTES A motion to approve the minutes from the February 20th meeting was made by Ev Barnes and seconded by Bill Brink. Motion carried. HOTELS/ATTRACTIONS REPORT • Mr. McCallum reported that P.F. Chang opened on March 17th • Earl Dorsett is now regional operations director for properties west of the Mississippi. Bob Cesar has been promoted to manager. • Gaylord Opryland Hotel has appointed a new general manager, John Imaizumi, who will start on April 1 but is not expected to be on-site until the middle of the month. • The International Butterfly Breeders Association will have their annual convention at the Hyatt Regency during our Butterfly Flutterby event in October. • The Games of Texas will be in Grapevine July 24-27, 2003 and again in 2004. For 2003 Summit Climbing Gym in Grapevine will host the climbing competition. This is Cov the first time that climbing has been offered in the Games. Also ESPN X-Games Skatepark at GV Mills has been contacted about hosting the skating and biking competition for the Games. The Board of Directors Meeting IL March 20, 2003 Page 2 of 3 HOTELS/ATTRACTIONS REPORT cont. • The Great Race has gone to contract at the Hyatt. They will have a 2-day stop in Grapevine. • Gold Wing has made the official announcement that their 26th annual event will be here July 2004. • The topping out at Gaylord Opryland will be tonight at 6 p.m. • Engine 2248 is back in service. SALES AND MARKETING REPORT Mr. Kakos shared highlights from the month of February. The convention sales division produced 29 leads representing 12,837 potential roomnights and assisted in closing 3 groups representing 1,005 roomnights. They conducted 2 site inspections and participated in Meeting Planners International Education Conference. During the Chicago Sales mission staff made 23 contacts. Convention services were provided to two groups representing 580 delegates. Tourism division had 6 day groups book with a total of 230 attendees and 2 overnight groups went definite representing 100 roomnights. Staff participated in 4 industry trade shows; American Bus, Kaleo Tours thir Show, Houston Vacation Show, and Kansas Boat Show with a total of 63 contacts. February saw 10,527 visitors assisted through the Visitor Information Centers and 25,900 brochures distributed. The Convention Center has hosted 34,362 guests through the first 5 months of the fiscal year. The Grapevine Vintage Railroad had 1,450 passengers during the month and the train web site had 5,216 visits. The CVB web site had 1,762 visits. Communications generated $94,963 in print publicity and $27,992 in electronic media for the month. Richard Blenko mentioned Grapevine on PBS during their fundraising auction. As a result of an article and ad in Bus Ride magazine there have been leads generated that could bring 2 to 5 busloads to Grapevine for GrapeFest. OLD BUSINESS New York Sales Mission Report Mr. McCallum thanked the Board, Council, and hotel partners for their participation in the event. There were 135 RSVP's and 51 attendees. 64 sales calls were being made following the event. Eleanor Velasco filled in for Toni Hopkins and received an RFP yesterday. Sister city intern, Barbara Riedl made calls with Susan Burk and was involved in the sales process as well. Board members in attendance agreed that the event had a great setup and ran very smoothly. Tower 16 Update (ir Mr. McCallum reported that the contractor has had a medical emergency in his family, which will impact this project. The next stage is to put the second floor back in place. (mv The Board of Directors Meeting March 20, 2003 Page 3 of 3 NEW BUSINESS New Vintage Wine Trail Mr. McCallum shared that the Jazz Wine Train will be on Friday night. Staff has made some adjustments to this event to improve the quality of the experience. On Saturday the Blessing of the Vines and New Vintages will take place at Delaney Vineyards at 11:00 a.m. followed by the wine trail from noon until 6 p.m. at the 7 winery tasting rooms in Grapevine. There will be a designated driver program and complimentary shuttles to the tasting rooms. REPORTS Heritage Foundation Mr. Brink reported that the Heritage Foundation is having success with the dinner and a movie program at the Palace. The Valentine's Day event was a huge success and made a profit. The Texas Ranger's law enforcement group event was a good event. The Planting of the Seeds will take place at Nash Farm on April 5th Chamber The Great Taste is planned for April 24th. There will be 26 local restaurants, Big Bucks is doing beer, and the cost is $20. Senator Nelson's office is now located in Grapevine. Mardi Gras at Paradise Cove was a great event and raised $11,000 towards debt retirement on their building. Ronny Nordling is the incoming chair for the Chamber. Phil Cloud has formed a signage committee to contact the 40 largest employers in town. ADJOURNMENT There being no further business to come before the Board, Paul Jennings made a motion to adjourn.
