SUBJECT: AWARD OF BID NUMBER 39-1999 FOR LUBRICANTS
(ANNUAL CONTRACT)
RECOMMENDATION:
City Council to consider award of a contract for the lowest and best bid meeting City
specifications to Gilco Lubricants for an annual contract to supply fleet vehicle lubricants.
Annual contract expenditures will be limited to the annual budgeted amount shown
below.
FUNDING SOURCE:
315-14108-0 Inventory/Fleet Equipment Parts ............ $40,000
BACKGROUND:
Bids were taken in accordance with Local Government Code Chapter 252, Subchapter
B, Section 252.021, 252.0215, and 252.022.
This bid was advertised in the Fort Worth Star Telegram and the Grapevine Sun on
December 16 and December 23, 1999.
The purpose of this bid is to establish firm contract pricing for fleet lubricants for a period
of one year with an option to renew the contract for two additional one year periods. Bid
packets were issued to sixteen vendors with three vendors responding by the bid
opening date and time.
The overall lowest bid received was from Gilco Lubricants. Gilco submitted bids for all of
the seventeen items requested and presented a 10% discount for all other items not
covered under the contract. Gilco Lubricants has satisfactorily provided this service to
the City in the past.
Staff recommends approval.
