ADJOURNMENT State of Texas County of Tarrant City of Grapevine MINUTES The Grapevine Convention & Visitors Bureau Board of Directors met on Tuesday, December 14, 2010 at 6:30 p.m. at the Grapevine Concourse, Grapevine, Texas with the following persons in attendance: Steve Stinson Chairman Tom Cherry Board Member LuAnn Chapman Gatts Board Member John Imaizumi Board Member Paul Slechta Board Member Dan Weinberger Board Member Sharron Spencer Council Liaison Jennifer Hibbs Assistant City Manager Paul W. McCallum Executive Director George Kakos Assistant Executive Director Absent: Andrew Davidson Board Member Peggy Weaver Board Member CALL TO ORDER Chairman Stinson called the meeting to order. APPROVAL OF MINUTES A motion to approve the minutes from the November 18, 2010 meeting was made by LuAnn Chapman Gatts and seconded by Paul Slechta. Motion carried. INTRODUCTION OF STAFF Mr. McCallum introduced the new staff from this past year; Neptali Cruz, Brent Villard and Candace Berman. OLD BUSINESS Year End Review Mr. McCallum reported that the Historic Preservation and Programs division received a national designation for Nash Farm, initiated the process to create an overlay for the Box Addition, added a marker on the First National Bank building, dedicated the street clock at the depot, completed restoration of the Donald Schoolhouse and the Cotton Ginners House, and developed plans for the equipment shed. They recruited and trained 20 new docents for Nash Farm and produced monthly events for the farm. They handled 17 certificates of appropriateness and 13 historic landmark designations. The marketing division had 1,828,509 unique visitors to the website and total hits of over 59 million. Total trade and consumer advertising was $1,657,604 and public relations value was a total of$1,657,422. The Grapevine Vintage Railroad was at the 100,000 mark for passengers with 209 promotional runs, 129 groups and seven charters. The Facilities division took over operation of the Grapevine Concourse and in just four months of operation has booked 36 events with an economic impact of $426,780. The Palace Arts Center booked 354 events during the year with an economic impact of $1,652,900 and almost $300,000 in sales. The Convention Center booked 427 events with $5,134,100 in economic impact and $628,000 in sales. The Festivals and Events division supports all events. Sponsorships raised $524,450 in cash and $55,768 in-kind. At New Vintage Wine and Gallery Trail there were 1,124 visitors per winery. Main Street Days had 110,000 in attendance and GrapeFest over 266,000. The Visitor Information Center welcomed 139,000 guests into the visitor center and distributed 922,000 brochures. Destination Services division provided registration and information to meetings with over 97,000 delegates with an economic impact of $93,202,000. Tourism sales division produced 124 leads and assisted with 98 bookings. The tourism team conducted 12 site inspections, hosted 43 FAM attendees and participated in 30 trade shows. The Convention Sales division produced 327 leads representing 411,033 potential room nights. They assisted with 122 bookings representing 161,789 room nights and $73,594,000 in economic impact. The team conducted 90 site inspections, hosted 114 FAM attendees and participated in 19 trade shows. Changes in Hotel Revenues At present there are 20 hotels in Grapevine ranging from the Gaylord Texan and five other full service properties down to the limited service properties. In the full service properties we are seeing the meeting planners still negotiating lower room rates but bringing back banquets, breaks and other extras. The hotels are seeing an increase in revenues on that side of the house. Occupancy is going up but room rate is not; the hotel tax revenue remains flat. It is expected to be the first or second quarter of 2012 before room rates return. Board of Directors Meeting December 14, 2010 Page 3 of 3 NEW BUSINESS Recognition of Board Service Chairman Stinson and Mr. McCallum recognized Chris Leighton for his service to the CVB Board. STAFF AWARDS The Rookie of the Year award went to Brent Villard, Train Master, and to Candace Berman, Convention Sales Manager. The Joey Wilkins "Can Do" award went to Michael Miori, festival and events manager. The Employee of the Year award went to the entire 2010 CVB Team. 2010 was a challenging year and every staff member stepped up to the plate to produce "more" with "less". MAYOR'S PRESENTATION Mayor Tate recognized the organization for their efforts under a limited budget. He recognized the bureau for their part in the preservation of our heritage. He reviewed the history of Grapevine and the many things we have to be thankful for.
