McCallum Executive Director George Kakos Assistant Executive Director CALL TO ORDER Chairman Slechta called the meeting to order. APPROVAL OF MINUTES A motion to approve the minutes from the November 17, 2011 meeting was made by LuAnn Chapman Gaffs and seconded by Tom Cherry. Motion carried. INTRODUCTION OF STAFF Mr. McCallum introduced the new staff members who have joined the Convention & Visitors Bureau this year: Corey Favors — Food and Beverage Coordinator Leigh Lyons — Communications Manager Nick Basiliadis —Train Service Personnel II Lisa Dalton —Visitor Services Supervisor Michael Percifield —Trainmaster Jim Lauderdale — Nash Farm Manager Katey Hubbard — National Sales Manager Tony Unger, Buddy Cummins, Tyrone Edwards, Henry Harrison and lead driver, Chris Rose —full time Visitor Shuttle Drivers For the first time, we have retirees from the CVB. This past year Tom Wayne and Roy James retired. Upcoming retirements include: Tommy Faifer— December 31, 2011 Charles Neal — January 31, 2012 Susan Cutts —first half of 2012 • Board of Directors Meeting December 13, 2011 Page 2 of 3 OLD BUSINESS Year End Review Mr. McCallum reported that convention sales team generated 471 leads with a potential economic impact of$218,717,922 a 44% increase over FY 10. They assisted with 133 bookings with an economic impact of$58,938,076 and conducted 105 site inspections and hosted 87 FAM participants. Tourism sales produced 145 leads with a potential economic impact of$2,484,557 and 88 bookings with an economic impact of $1,476,873. They conducted seven site inspections and hosted 358 FAM attendees. Staff distributed 962,210 brochures a 4.3% increase over last year and welcomed 78,953 visitors at the Visitor Information Center. Destination Services provided information and registration assistance to 211 groups with an economic impact of$103,636,752 an 11% increase over FY 10. The Grapevine Shuttle carried 43,695 passengers a 41% increase over FY 10 with an economic impact of$2,683,984. The Convention Center hosted 101,469 guests at the center and had total sales of $552,281. The Palace Arts Center hosted 44,567 guests and had $257,128 in total sales. The Concourse hosted 12,681 guests and had $93,886 in total sales. The Grapevine Vintage Railroad has total ridership of 103,822 including 16 field trips, 100 groups, 96 group charters, 224 special promotional runs, 15 cab rides, 15 caboose bookings and 17 birthday parties. Heritage Programs and Preservation conducted 31 tours with 1,734 students. They had 2,053 attendees at the First Friday Film Series and held 24 special events with 12,986 attendees. Staff handled 228 restoration and preservation inquiries, 214 restoration and preservation consultations, 73 certificates of appropriateness, four historic landmark cases and 18 historic preservation commission cases. The website had 2,229,647 unique visitors with 87,149,825 hits. This is a 22% increase in unique visitors over FY 10. The advertising investment included $1,190,173 in trade and consumer advertising. Print publicity was $1,655,644 and electronic publicity was $1,152,135 for a total of$3,429,135 a 106% increase over FY10. NEW BUSINESS Recognition of Board Service Mr. McCallum presented a plaque to Nikki Stinson, recognizing Steve Stinson's tenure on the CVB Board. Staff Awards cont. The "Rookie of the Year" Award was presented to Leigh Lyons. The Joey Wilkins "Can Do" Award was presented to Barry Lewis. The Employee of the Year Award was presented to lona Robbins. MAYOR'S REFLECTIONS Mayor Tate shared his thoughts on the new CVB Headquarters and Museum Complex and an encouraging outlook for the future. Mr. McCallum presented a slide show and shared thoughts on the industries represented by the various facades incorporated into the building. ADJOURNMENT Paul Slechta congratulated the staff on a successful 2011 and the prospects for 2012. LuAnn Chapman Gatts made a motion to adjourn seconded by Tom Cherry. Motion Carried. ATTEST: DATE:
