MINUTES
The Grapevine Convention & Visitors Bureau Board of Directors met on Thursday, April
19, 2012 at 8:00 a.m. at the Wallis Building, Grapevine, Texas with the following
persons in attendance:

CALL TO ORDER
Chairman Slechta called the meeting to order.
OATH OF OFFICE
Laura Simmons administered the Oath of Office to new board member Lance Marrin.
INTRODUCTION OF STAFF
Mr. McCallum introduced new staff members, Mackenzie Martinez, Event Coordinator,
for the facilities division and Amy Stirman, Festivals and Events Manager, for the
festivals division.
APPROVAL OF MINUTES
A motion to approve the minutes from the March 22, 2012 meeting was made by Dan
Weinberger and seconded by Dennis Roberts. Motion carried.
BOARD MEMBER INDUSTRY ANNOUNCEMENTS
• The Grand Hyatt has conducted several site inspections with various NFL teams.
• The recent storms have created a positive impact on hotel guest numbers for the
Cor Grand Hyatt and business looks good for April and May.

OLD BUSINESS
Nash Farm Update
Mr. McCallum reported that yesterday there was a joint meeting of the Nash Farm
Committee and the Heritage Foundation Board. There has been some controversy over
moving the farm forward as a heritage education facility. The Board had established
subcommittees to study the needs as well as held a public input meeting. The results of
last night's meeting is to move the soil conservation cottage onto the farm site to be
used as a classroom; to install a perimeter fence; to install period furnishings,
purchased by the CVB, into the farmhouse; and to proceed with the landmarking of the
farmhouse. The landmarking process will go before the Historic Preservation
Commission on April 25 and then on the P&Z and Council agendas for May 15.
New Vintage Report
Mr. McCallum reported that this past weekend we had a great New Vintage event. The
Blessing of the Vines went well, attendance was up over last year, and we experienced
a growth in the Designated Driver program. The New Vintage Jazz Wine Trains were
moved off of New Vintage weekend. These sold out events were presented by Park
Place Motor Cars.

The Grapevine Market also had their opening weekend with a couple of the vendors
having their largest sales ever.
Thomas the Tank started their two weekend run with 11,187 passengers for the first
weekend.
Convention and Tourism sales both hosted fams this weekend. Convention Sales had
planners from the local area and from New Jersey. Tourism hosted Bank Travel
planners.
NEW BUSINESS
Grants-In-Aid Requests
End of the Runway Players
This grant request is for $15,000. The community theater does an excellent job and we
have worked with them for many years. Due to limited funds this year, Dan Weinberger
made the motion to approve their grant request at the $7,500 level. Motion was
seconded by LuAnn Chapman Gatts; motion carried.
Tarrant Area Guild of Storytellers
This group is also one we have worked with for several years and the request is for
$1,593. LuAnn Chapman Gatts made a motion to approve the grant at the $1,593 level.
Motion was seconded by Tom Cherry; motion carried.

Registration Staff Pricing
Mr. McCallum reported that the Burgundy Brigade is a group of folks who assist
conventions in town with guest services. This group of paid staff is well-trained and an
important asset that helps to distinguish Grapevine. Attached is a summary sheet
showing what services are offered complimentary and showing the comparisons with
other cities. Staff recommended an increase from $15 to $18 an hour for services
rendered beyond the complimentary ones. LuAnn Chapman Gatts made a motion to
increase the hourly rate from $15 to $18 an hour. Tom Cherry seconded the motion;
motion carried.
SALES AND MARKETING REPORT
Mr. Kakos reported that during the month of March, Convention Sales produced 29
leads representing 17,748 potential room nights; eighteen of the leads were for 2012.
They assisted with 15 definites representing 5,896 room nights and conducted ten site
inspections. Staff exhibited at the local Plan Your Meetings event and met with 32
planners. They also participated in the Dallas Fort Worth Association luncheon. The
24th annual New York St. Patrick's Day sales mission included a breakfast and
education session at the Grand Hyatt New York for 13 planners, a reception at the
Winston's New York City for 15 planners and a dinner at Beauty & Essex for 13
planners. Staff also conducted ten sales appointments while in New York. Tourism
sales produced five leads representing 270 potential room nights, all for 2012. They
assisted with two definites representing 100 room nights, both for 2012. The tourism
team hosted the Dallas Fort Worth Area Tourism Council's Marketplace and participated
in the Great Big Texas Home Show at Cowboy's Stadium. 61,575 brochures were
distributed during the month and 13,065 guests were welcomed at the Visitor
Information Center. Destination Services provided registration and information
assistance to six groups with 4,781 delegates. The Grapevine Visitor Shuttle carried
3,949 passengers.
The Convention Center had 18 future bookings with 3,945 attendees and total sales of
$49,583. The Palace Arts Centre had 23 future bookings with 4,430 attendees and total
sales of$23,483. The Concourse had seven future booking with 715 attendees and
total sales of$12,763.
There were 118,894 unique visitors to the web site versus 117,996 last year. 17.7% of
the visitors used a mobile devise to access the website. There were seven convention
group ad insertions, one leisure group ad insertion, 15 on-line ad insertions, 43
consumer print publication ad insertions and 90 TV/radio runs. Total advertising
investment was $48,308. Public relations generated $266,708 in print, and $127,305 in
Cor electronic for a total public relations value of$394,013.

HOTELS /ATTRACTIONS ACTIVITIES
• Certificates of Occupancy were issued for Sleep Experts at 1219 W. NW Highway
and Fred's Downtown Philly Restaurant at 2100 W. NW Highway.
• A building permit was issued for Under Armour at Grapevine Mills mall.
• Lazy Bones Grill and Pub located at 120 E. Worth burned on Sunday, April 15tH
This was the Cameron Lumber Yard and was part of the contributing structures for
the National Register designation.
• Gypsy Warehouse will be closing after Main Street Days. Blessed Boutiques will go
into this location.
• The Star Report for hotel occupancy showed March numbers to be even with a year
ago with only a slight increase in rate and rev par.
• New brochures shared included New Vintage, Nash Farm Main Street Days and the
Historical Society's brochure.
• Spice and Tea Shop is moving in next to Pandemonium and plan to be open by
Main Street Days.
LIAISON UPDATES
Heritage Foundation Activities
(r. Mr. McCallum reported that Spring Into Nash is this weekend and will include such
activities as pony rides, a petting zoo, wagon rides, rope making, heritage toys, kitchen
gardening, wood carving, etc.
The Nash Farm Committee will meet on Tuesday April 24th at the Farmhouse. The
Historic Preservation Commission will meet on April 25th at the Wallis. The Commission
has two cases to discuss in addition to the landmarking of the Nash Farmhouse.
Chamber of Commerce Activities
The Great Taste of Grapevine is this evening at the Hilton. Tickets are $30 at the door.
