McCallum Executive Director George Kakos Assistant Executive Director Absent: Tom Cherry Board Member Jennifer Hibbs Assistant City Manager CALL TO ORDER Chairman Slechta called the meeting to order. APPROVAL OF MINUTES A motion to approve the minutes from the December 13, 2011 meeting was made by LuAnn Chapman Gatts and seconded by Dan Weinberger. Motion carried. BOARD MEMBER INDUSTRY ANNOUNCEMENTS • In approximately a month Baylor will break ground for their new project. • Coach store will be opening in the spring at Grapevine Mills. There are also two other big announcements on the horizon. • Gaylord will open their pool for spring break instead of waiting until summer. OLD BUSINESS CVB Headquarters Update Mr. McCallum reported that tomorrow staff will officially begin the move into the new facility. Some activities will continue to take place at the Wallis including Historic Preservation Commission meetings and other committee meetings. • Board of Directors Meeting January 19, 2012 Page 2 of 4 OLD BUSINESS cont. CVB Headquarters Update cont. In the new building, reception will be located downstairs. The weather vane, time and temperature and animatronics are on track for a February installation. We will officially open the building on March 2"d Christmas Capital of Texas Wrap-Up Mr. McCallum reported that the official kick-off of the Christmas Capital of Texas was moved to the Monday before Thanksgiving to capture the holiday visitors. Parks & Rec updated many of the decorations and the merchants ramped up their decorating. Decorations were left up until after the American Bus Association's conference. North Pole Express carried students from 51 schools on the school runs and 29,669 passengers on the public runs; this was up 26%. There were three Christmas wine trains and the train runs between Christmas and New Years carried a little under two thousand riders. Ice! at the Gaylord was a great event with really good attendance. The Palace Arts Center provided 12 holiday movies with 1,588 attendees; Six Texas Tenors performances with 1,684 attendees; four Grapevine Opry shows with 1,511 attendees and 16 family musicals with 1,597 attendees. Both the Grapevine Mills and Historic Downtown merchants were pleased and most had good numbers. The Grapevine Visitor Shuttle carried 3,286 passengers. American Bus Association (ABA) - Wrap-Up Mr. McCallum reported that we hosted just over 3,300 people at the January 6-10 ABA convention. They raised $33,000 for GRACE through the Marketplace Gives Back Program. For their Dine Around event 90% of the folks stayed in town and many groups bought out some of our restaurants. The event at Cowboys Stadium, the Team Texas event, was the best ever. The highlight of the evening was when Jerry Jones shared with the group and then remained to sign autographs and visit with folks. NEW BUSINESS Grants-In-Aid Request Mr. McCallum presented a Grants-In-Aid request from Mélange Musical. This is their fourth time to apply. The performance will be at the Founders Chapel at First United Methodist Church as the Palace was not available on their date. The request is for $3,000 and the total project cost is $6,665. Staff recommends approval. LuAnn Chapman Gatts made a motion to approve the grant in the amount of $3,000, seconded by Dan Weinberger and requested that they be encouraged to return to the Palace for future events. Motion carried. Cor Board of Directors Meeting January 19, 2012 Page 3 of 4 Marketing Presentation The Marketing Committee was made up of Tom Cherry, Chair; Peggy Weaver and Dan Weinberger from the board and other industry partners. Barry Lewis, Director of Marketing, presented the 2012 Marketing plan to the Board reviewing the Mission Statement, Brand Promise, SWOT Analysis, various mediums and various markets. SALES AND MARKETING REPORT Mr. Kakos reported that during the month of December Convention Sales produced 31 leads representing in excess of 32,000 potential room nights. They assisted with seven definites with over 8,000 room nights and conducted a Washington DC sales mission. Tourism sales finalized all action plans for the American Bus Association Conference and attended National Tour Association show with 26 appointments. The web site had 180,987 unique visitors. Total advertising investment was over $136,000 and public relations generated was $1,218,807. Mr. Kakos shared the Christmas Capital of Texas marketing items. Staff brought home ten awards from the Texas Festivals & Events Association annual meeting. He also shared the ABA Appreciation award. Cir The Palace Arts Center had seven bookings with 1,000 attendees and total sales of $69,019. HOTELS /ATTRACTIONS ACTIVITIES • Business closures included Patty Cakes and Chocolate Grape. • Hollyhocks is moving to S. Main Street where Bella Butterflies was located. • Just For Fun Watercraft Rentals is consolidating all of their rentals to Eagle Point Marina on Lake Lewisville. • Papadeux's, Grimaldi's Pizza and Eatsi's are all moving forward with their construction. • Council approved to go forward with a 300 room Marriott Courtyard at 2200 Bass Pro Court LIAISON UPDATES Heritage Foundation Activities Curtis Ratliff reported that the Palace attendance was 50,000 for 2011 and Nash Farm attendance was 25,000. The Heritage Foundation is looking forward to 2012 and the things that Jim Lauderdale will bring to the table. This Saturday is a Clean-Up at the Barn. They are working on the Farm Hand Volunteer Program, the proposed buildings and Cie fencing, and expanding the household activities.
