SUBJECT: APPROVAL OF BID 85-2001, LANDSCAPE EQUIPMENT —
GOLF COURSE
RECOMMENDATION:
City Council to consider approval of the purchase of landscape equipment for the Golf
Course from Professional Turf Products and from AMC Industries for the items as listed
on Attachment "A" and shown on the attached bid tabulation. The total cost for this
purchase is $138,095.00. The bid tabulation for this bid is attached for review.

Funding for this purchase is currently available in account:
325-48860-000-0-0004 Lease Fund/Machinery/Equip.-Equip. Note '01...$138,500.00
BACKGROUND:
Bids were taken in accordance with Local Government Code, Section 252.021. Fourteen
vendors received bids with six vendors responding. Notice of the bid was published in
the Fort Worth Star Telegram and the Grapevine Sun on February 1, 2001 and February
8, 2001. In addition, the bid was advertised on the City purchasing web site. The web
site had bid forms available for download.
This equipment was approved for purchase during the current budget year. The purpose
of this purchase is to add grounds keeping capabilities to the Golf Maintenance Division.
Items 5 and 7 are replacement items. Item 5 is replacing an existing five year-old
vehicle. Golf Maintenance has established a minimum five year rotation on utility
vehicles. Item 7 will replace an existing six-year old walk -behind greens mower. Three
walk -behind greens mowers were purchased six years ago and one will be replaced per
year for the next three years. The bid also includes the purchase of additional equipment
as part of the expansion and renovation project that will increase the course to 27 holes.

After a review of the bids received it was determined that the low bids for items 1, 3, and
7 did not meet the required specifications of the bid as follows:
Item 1- The low bid from AMC Industries did not meet the specifications of the traction
drive or PTO drive. Although the next low bid of Lawn and Garden Warehouse bid the
same brand as that being recommended they indicated they were bidding a side
discharge deck rather than the recycle deck called for in the specifications. When
contacted this vendor indicated the could not provide the recycle deck without an
increase in their bid price. The next low bid of Jones Tractor Sales did not meet the
specifications requested in the traction Drive and PTO drive.
Item 3- Both lower bids of Professional Turf Products and Austin Turf did not meet the
specifications by not including a safety enclosure. Inclusion of this specification in their
bid would increase their bid price.
Item 7- The low bid of Professional Turf did not meet the specifications in Horsepower,
Transport Wheels, Width of Cut, or Weight.
Staff recommends approval.
