APPROVAL OF BID NUMBER 238-2005, ANNUAL CONTRACT
FOR ASPHALT MATERIAL
City Council to consider award of an annual contract to Southern Asphalt and Petroleum
for the purchase of asphalt material by the Street Department. Annual expenditures will
be limited to the budgeted amount for this service. A bid tabulation is attached for
review.
FUNDING SOURCE:
Funds for this contract are available in the following accounts:
174-43301-090-000 St. Maint/Capital Replacement/Trans. Infrast. Maint... $20,000.00
BACKGROUND:
Bids were taken in accordance with Local Government Code Chapter 252, Subchapter
B, Section 252.021 (a) and Section 252.041 (a).
The purpose of this bid is to establish annual contract pricing for asphalt material to be
ordered on an as needed basis by the Street Department.
Staff sent bids to seven vendors with one vendor responding. The contract will be for an
initial one-year period with an option to renew for four additional one-year periods.
Southern Asphalt and Petroleum was the only vendor to submit an offer, has provided
this material in the past and has consistently met all contract requirements. Other
vendors contacted did not return bids due to availability of product and fluctuating
market prices for this fuel based commodity.
Staff recommends approval of a contract award to Southern Asphalt and Petroleum.
