SUBJECT: RENEWAL OF BID NUMBER 153-2003, ASPHALT MATERIAL
RECOMMENDATION:
City Council to consider renewal of an annual contract to Southern Asphalt and
Petroleum for the purchase of asphalt material by the Street Department. Annual
expenditures will be limited to the budgeted amount for this service. A bid tabulation is
attached for review.
FUNDING SOURCE:
Funds for this contract are available in the following account:
174-43301-090-000 St. Maint/Capital Replacement/Trans. Infrast. Maint... $20,000.00
BACKGROUND:
Bids were taken in accordance with Local Government Code Chapter 252, Subchapter
B, Section 252.021 (a) and Section 252.041 (a).
The purpose of this bid is to establish annual contract pricing for asphalt material to be
ordered on an as needed basis by the Street Department.
This contract was first approved by Council on May 6, 2003. Bids were sent to six
vendors with one vendor responding. The contract was for an initial one-year period with
an option to renew for four additional one-year periods. This would be the first renewal.
Southern Asphalt and Petroleum performed this service for the past two years and
consistently met all requirements of the contract. Other vendors contacted did not return
bids due to availability of product and fluctuating market prices for this commodity.
Staff recommends approval of an award to Southern Asphalt and Petroleum.
