HomeMy WebLinkAboutItem 16 - Water Wastewater ChemicalsMEMO TO FROM MEETING DATE SUBJECT RECOMMENDATION: ITEh1 # HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL ROGER NELSON, CITY MANAGER Al MARCH 23, 2004 APPROVAL OF CONTRACT RENEWAL OF BID 77-2001, FOR WATER/WASTEWATER CHEMICALS City Council to Consider renewal of an annual contract for the lowest and best bids meeting City specifications to the vendors as listed on attachment "A" and as shown on the attached bid tabulation. Annual contract expenditures will be limited to the budget amount approved during the budget process for this service. FUNDING SOURCE: 200-42205-530-2 Utility Ent. BACKGROUND: The purpose of this bid was to establish contract pricing for various types of water and wastewater chemicals. Bids were initially solicited in January 2001 and approved by Council on March 20, 2001. The specifications were for a one-year period with an option to renew for three additional one-year periods. This request is for the third and final renewal. During the first renewal period, the second low bid (Eaglebrook, Inc.) was awarded item 12 for Ferrous Chloride due to the inability of Advance Chemical to supply the material. During the second renewal period, Harcross Chemicals declined to renew their contract and DPC Industries (the second low bid) was awarded items 1, 7, 9, and 11 in addition to their original award of item 5. None of the vendors agreed to renew item 4 and this item is bid on an as needed basis. March 12, 2004 (10:55AM) During this renewal period, DPC Industries requested a price increase for items 5 and 9 and will maintain their original pricing on items 7 and 11. Price re -determinations are allowed under the original specifications of the bid. The increase will not exceed 5% and due to the volatility of chemical pricing, the request is in line with industry standards. DPC also declined to renew item 1 for Liquid Chlorine. Because this item has a low annual usage, it is recommended that the item is dropped from the bid and staff obtain quotes on an as needed basis All other vendors have agreed to renew their contracts under the original specifications and pricing of the bid. Each vendor has successfully performed the required services of the contract.
