RENEWAL OF AN ANNUAL CONTRACT, BID NUMBER 117-
2002, EQUIPMENT RENTAL SERVICES
City Council to consider renewal of annual contracts to RSC Rental, Briggs Rental, Fox
Rental, Holt Rental (previously Darr Rental), and Nations Rent as the lowest and best
bids for equipment rental services. The bid tabulation is attached for review.

BACKGROUND:
Bids were taken in accordance with Local Government Code, Section 252.021. Notice of
the bid was published in the Fort Worth Star Telegram and the Grapevine Sun on
November 22, 2001 and November 29, 2001.
This contract established fixed annual pricing for the rental of various types of heavy
equipment utilized by the Street Department. Rentals are made on an as needed basis
and include such items as Back Hoes, Bucket Trucks, Excavators, and other types of
heavy equipment items. The bid requested pricing for daily, weekly, and monthly rental
periods. Bids were received from eleven different vendors.
Council approved initial contract awards to the vendors who provided the lowest bids for
each item as shown in the bid tabulation. These awards were made as the primary
supplier for that item. Because of availability Council also awarded the next lowest
bidder for each item as secondary suppliers. in the event equipment is not available from
the primary vendor.
All vendors have successfully performed the services required by the contract and have
agreed to renew their contracts at no increase in contract pricing.
Staff recommends approval of renewals to each of the primary and secondary vendors
for this service.
