HomeMy WebLinkAboutItem 11 - Software MaintenanceITEM r .�.= MEMO TO: HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL FROM: ROGER NELSON, CITY MANAGER 4) MEETING DATE: MAY 20, 2003 SUBJECT: APPROVAL OF A RESOLUTION FOR THE RENEWAL OF A SOFTWARE MAINTENANCE AGREEMENT FOR POLICE AND FIRE SOFTWARE SYSTEMS RECOMMENDATION: City Council to consider approval of a resolution to declare VisionAir, Inc. a sole source provider and renew the current service and maintenance contract covering various software licenses for the Police and Fire Department software systems. The total cost of this agreement is not to exceed $69,653.83. FUNDING SOURCE: Funding for this expenditure is currently available in account 100-43465-209-4 General Fund/Technical Services/Misc. Equip. Maintenance. BACKGROUND: This procurement will be made as a sole source in accordance with Local Government Code Chapter 252, Subchapter B, Section 252.022 (A). This request is to renew the current maintenance agreement to support the software modules that operate as part of the City Police and Fire software systems. The maintenance contract will cover VisionRMS, VisionCAD, VisionJail, and VisionMobile. The renewal contract is for one year from May 31, 2003 to May 30, 2004. A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF GRAPEVINE, TEXAS, MAKING FINDINGS OF CERTAIN FACTS RELATIVE TO THE PURCHASE OF A MAINTENANCE AGREEMENT; DETERMINING THAT THE MAINTENANCE IS AVAILABLE FROM ONLY ONE SOURCE; AUTHORIZING THE CITY MANAGER TO EXECUTE SAID CONTRACTS AND DOCUMENTS AND PROVIDING AN EFFECTIVE DATE WHEREAS, the City of Grapevine desires to cover the following software under a maintenance agreement: VisionRMS VisionCAD VisionJAIL VisionMobile and; WHEREAS, VisionAir, Inc. is the sole provider of maintenance for the software listed above. NOW, THEREFORE, BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY OF GRAPEVINE, TEXAS: Section 1. That all matters stated in the above preamble are true and correct and are incorporated herein as if copied in their entirety. Section 2. That the City Council of the City of Grapevine authorizes the purchase of a maintenance agreement to cover the listed software for a total not to exceed $69,653.83. Section 3. That the City Manger, or his designee, is authorized to take all steps necessary to consummate the purchase of said maintenance agreement. Section 4.
