HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL ROGER NELSON, CITY MANAGER ; VL MARCH 5, 2002 APPROVAL OF ANNUAL CONTRACT FOR TREE MAINTENANCE, BID NUMBER 120-2002 City Council to consider award of an annual contract to Trees, Inc. as primary supplier and Asplundh Company as secondary supplier for an annual contract for the purchase of tree maintenance services. Contract expenditures will not exceed the annual budgeted amount for this service. A copy of the bid tabulation is attached for review. FUNDING SOURCE: 100-44540-312-3 General Fund/Parks Maintenance/Professional Services .... $50,000 BACKGROUND: Bids were taken in accordance with Local Government Code Chapter 252, Subchapter B, Section 252.021 (a) and Section 252.041 (a). Bids were publicly read aloud per the attached tabulation sheet. Notice to bidders was published in the Grapevine Sun and the Fort Worth Star Telegram on January 17, 2002 and January 24, 2002. This contract establishes fixed pricing for tree maintenance services to be used on an as needed basis by the Parks Department. The City received five bids. The bids were opened on February 8, 2002 and publicly read aloud. The bid requested unit pricing on different labor configurations for pruning, tree removal, stump grinding and disposal. The lowest bid received was from Trees, Inc. This vendor met all of the requested bid specifications and requirements. Staff recommends that Trees, Inc. be awarded an annual contract as primary supplier for tree maintenance services. Because of the need to insure uninterrupted service in case of emergency requirements it is also recommended a second award be made to the second low bid of Asplundh as secondary supplier in cases where the primary supplier cannot perform these services.
