SUBJECT: APPROVAL OF CONTRACT RENEWAL OF BID 82-2001, FOR
ASPHALT MATERIAL
RECOMMENDATION:
City Council to consider renewal of an annual contract for the lowest and best bid
meeting City specifications to Southern Asphalt & Petroleum as shown on the attached
bid tabulation. Annual Contract expenditures will be limited to the budget amount
approved during the budget process for this service.
FUNDING SOURCE:
174-43301-090-000 St. Maint./Cap. Replacement/Trans. Infrast. Maint.....$30,000
BACKGROUND:
This bid was intended to set fixed pricing for the purchase of asphalt material for the
Street Division. Bids were initially solicited in January 2001 and approved by Council on
March 20, 2001. The specifications of the bid provided for fixed pricing for a one-year
period with an option to renew for three additional one-year periods. This request is for
the first renewal.
Southern Asphalt & Petroleum submitted the lowest bid and met all requirements and
specifications of the bid. This vendor has agreed to renew the contract at the original
pricing and has successfully performed the required services of this contract.
Staff recommends approval of renewing the contract with Southern Asphalt &
Petroleum.
