SUBJECT: APPROVAL OF CONTRACT RENEWAL OF BID 77-2001, FOR
WATERIWASTEWATER CHEMICALS
RECOMMENDATION:
City Council to consider renewal of an annual contract for the lowest and best bids
meeting City specifications to the vendors as listed on attachment "A" and as shown on
the attached bid tabulation. Annual Contract expenditures will be limited to the budget
amount approved during the budget process for this service.

BACKGROUND:
This bid was intended to set fixed pricing for various types of water and wastewater
chemicals. Bids were initially solicited in January 2001 and approved by Council on
March 20, 2001. The specifications of the bid provided for fixed pricing for a one-year
period with an option to renew for three additional one-year periods. This request is for
the first renewal.
With the exception of item 12, all of the originally awarded vendors agreed to renew the
contract at the original bid pricing. Item 12 (Ferrous Chloride) was originally awarded to
Advance Chemical. After the award, Advance Chemical advised Staff they bid a different
type of Chloride and could not provide the type requested. Staff contacted all other
vendors bidding this item and the only vendor who could provide the correct Chloride
was Eaglebrook, Inc.
All other vendors successfully performed the required services of this contract.
Staff recommends approval of a renewal contract to all original vendors shown in
Attachment "A" for items 1 — 11 and an award to Eaglebrook, Inc. for item 12.
