Russell Pulley, Director of Golf Golf Board Golf STATE OF TEXAS COUNTY OF TARRANT CITY OF GRAPEVINE The Golf Course Advisory Board of the City of Grapevine, Texas met in regular session on this 20th day of October 2016 at 5:00 p.m. at the Grapevine Golf Course, 3800 Fairway Drive, with the following members present: Gary Davis Member Louis Capone Member Bryan Humphreys Member Tom Kormondy Member Shelley Schlecta Member Jonathan Wall Member(absent) Constituting a quorum, with the following members of the City Staff: Russell Pulley Director of Golf Mike Lease City Council Member Robert Singletary Head Golf Professional Merlin Tielkemeier Superintendent Eric Hunt Assistant Golf Professional CALL TO ORDER Russell Pulley called the meeting to order at 5:03 p.m. CITIZEN COMMENTS There were no citizen comments. ITEM 1 — Summary of Golf Operations 4thuarter Russell Pulley discussed the Executive Summary details for the 2015-2016 4th quarter (handout) Russell indicated that rounds were down vs prior year period. The practice range had revenues exceeding$200K vs $164K in prior year period. Russell reported that revenues were less than projected for the year but we were expected to be ok with the attention that was paid to expenses following the trend of the revenue during the year. The downtrend in revenue was not due to any one thing in particular but many thing contributed: The south end of the dam being closed the entire month of May, not fully recovering from the previous years'flood getting everything back to somewhat normal, weather in first quarter. Russel felt as though 2016-2017 year would be a truer indicator of normality. Russell mentioned that working with the City's IT department getting a process call point to point installed to stabilize internet service and credit card processing over the winter. ITEM 2--Long Range Capital Project update) Russell Pulley Russell indicated that the #1 item on the long range plan would be Clubhouse followed by Practice range renovation (putting& chipping green) enlargement of teeing surface,para and teaching facility with building structure. ITEM 3— Instructional Program Update (Jr. Golf Academy, Jr. League Golf-(R. Singletary) Robert share the setting up and start of the Grapevine Jr. Golf Academy and the Jr. interclub. Eric Hunt talked about the success of the Get Golf Ready Program at Grapevine and plans for expanding in 2016-2017. Mike Lease commented on getting instructional information into the REC playbook. Bryan Humphreys commented on getting the HS girls involved for service hours. ITEM 4—Bunker Project Russell Pulley) Russell let everyone know that the bid for the Bunker project would be coming soon with hopes to start by February 1, 2017. Russell talked about the process of ordering the sand separately from the project bid to help ensure we did not run short during the project. Russell mentioned that the sand provider was a sole source provider. Russell talked about the Better Billy Bunker Liner that was to be used and its benefits. Mike Lease mentioned that reminding the Board about the council meeting for their show of support of the project. ITEM 5 Decorating of Lobby (wildlife pictures) (Gary Davis) Gary Davis opened discussion for the decorating of the Clubhouse Lobby involving pictures of the native wildlife that we have at the Golf Course and thoughts that the board might have. Merlin entered in the discussion that Tray Poskey, his assistant lvas working on getting the golf course certified as an official Audubon certified sanctioned facility. It is a multi step process. Gary Davis mentioned that historical pictures might be an option and that it might be a good idea to start compiling any historical data that might be useful. ITEM 6 Community Forum Discussion (Gary Davis) Gary Davis had the discussion about the possibility of having a community forum to share with the community of what is going on at the golf course. Gary tabled the conversation for future thought. ITEM 7— Golf Course Maintenance Report Merlin commented that the golf course was in good shape presently. Merlin talked about the addition of the new tee markers and that the process of putting out new tee signs and directional signage as well as new trash containers with the Grapevine Logo would start early in the new Budget year. Merlin mentioned that the water fountain at the restroom was being repaired. CONSIDERATION OF MINUTES Consideration to approve the minutes from the October 20, 2016 meeting were approved with Bryan Humphreys making the motion to approve the minutes and Lou Capone with a second to the motion.
