HomeMy WebLinkAboutItem 06 - Janitorial SuppliesSTEM • M 6 MEMO TO: HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL FROM: ROGER NELSON, CITY MANAGER A$/ MEETING DATE: JULY 2, 2002 SUBJECT: APPROVAL OF BID 129-2002, ANNUAL CONTRACT FOR JANITORIAL SUPPLIES RECOMMENDATION: City Council to consider approval of an annual contract for Janitorial Supplies to the lowest and best bid meeting City specifications to Empire Paper Company. Annual Contract expenditures will be to replenish inventory maintained in the General Warehouse. A bid tabulation is attached for review. FUNDING SOURCE: 100-14111 General Fund/Warehouse Inventory BACKGROUND: Bids were taken in accordance with Local Government Code Chapter 252, Subchapter B, Section 252.021 (a) and Section 252.041 (a). This bid was taken through the Internet e-commerce web site and was taken in accordance with the administrative procedures and policy as passed by Council on April 16, 2002. Bids were publicly read aloud per the attached tabulation sheet. Notice to bidders was published in the Grapevine Sun and the Fort Worth Star Telegram on April 11, 2002 and April 18, 2002. This contract establishes fixed pricing for various types of Janitorial Supplies maintained in inventory for use by various departments on an as needed basis. Bids were issued to ten vendors through the web site with four vendors responding. Empire Paper Company was low bid on 64% of the 56 bid items and had 2 no bid items. The next lowest bid was from Al Mar Maintenance Group who was low bid on 27% of the items and had 11 no bid items. To consolidate the administrative cost of issuing order releases under the contract Staff recommends that all items be awarded to Empire Paper Company who was the lowest overall bid received and low bid on the majority of items.
