HomeMy WebLinkAboutItem 06 - Software MaintenanceITEM• _6" Emmummuft MEMO TO: HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL FROM: ROGER NELSON, CITY MANAGER MEETING DATE: OCTOBER 2, 2001 SUBJECT: APPROVAL OF A RESOLUTION FOR THE PURCHASE OF SOFTWARE MAINTENANCE AS A SOLE SOURCE THROUGH SHI-GOVERNMENT SOLUTIONS COMPANY RECOMMENDATION: City Council to consider approval of a resolution to declare SHI-Government Solutions Company a sole source provider for the purchase of a service and maintenance contract covering various software licenses. The total cost of this agreement is not to exceed $23,331.10. FUNDING SOURCE: Funding for this purchase is currently available in account 100-44540-101-2 Technology Fund/Technology/Administration. BACKGROUND: This procurement will be made as a sole source in accordance with Local Government Code Chapter 252, Subchapter B, Section 252.022 (A). This request is for the purchase of maintenance to support the current software modules that operate as part of the City networking system. The maintenance contract will cover the Netware Node, Border Manager, and Groupwise Mailbox software packages. The contract is for one year from September 1, 2001 through August 31, 2002. CD September 27, 2001 (3:26PM) RESOLUTION NO. A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF GRAPEVINE, TEXAS, MAKING FINDINGS OF CERTAIN FACTS RELATIVE TO THE PURCHASE OF A MAINTENANCE AGREEMENT; DETERMINING THAT THE MAINTENANCE IS AVAILABLE FROM ONLY ONE SOURCE AND AUTHORIZING THE CITY MANAGER TO EXECUTE SAID CONTRACTS AND DOCUMENTS AND PROVIDING AN EFFECTIVE DATE WHEREAS, the City of Grapevine desires to cover the following software under a maintenance agreement: 450 Each Novell Netware Node Maintenance 490 Each Groupwise Mailbox Maintenance 450 Each Border Manager EE Maintenance and; WHEREAS, the SHI-Government Solutions Company is the sole provider of maintenance for the software listed above. NOW, THEREFORE, BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY OF GRAPEVINE, TEXAS: Section 1. That all matters stated in the above preamble are true and correct and are incorporated herein as if copied in their entirety. Section 2. That the City Council of the City of Grapevine authorizes the purchase of a maintenance agreement to cover the listed software for a total not to exceed $23,331.10. Section 3. That the City Manager, or his designee, is authorized to take all steps necessary to consummate the purchase of said maintenance agreement. Section 4. That this resolution shall take effect from and after the date of its passage. PASSED AND APPROVED BY THE CITY COUNCIL OF THE CITY OF GRAPEVINE, TEXAS on this the 2nd day of October, 2001.
