ESTATES SUBDIVISION
City Council to consider approval of an engineering services contract with the Civil
Works Group in an amount of $30,610.00 for water system improvements in the
Grapevine Lake Estates Subdivision, and authorize the City Manager as signatory.

BACKGROUND:
The Grapevine Lake Estates Subdivision is served primarily by a private water well
system. The board of directors and members of the Grapevine Lake Estates Water
Supply Corporation have voted to close down the system and accept the Cities' offer to
connect to the City of Grapevine System.
Since the existing system consists of undersized galvanized water mains, it cannot be
utilized by the City to provide water service and must be replaced with adequately sized
mains constructed of modern materials. The Civil Works Group has made the following
proposal for the design phase of the project:

Engineering 17.625
Total $30,610
The estimated construction cost is $300,000 with a contingency of $30,000.
The Civil Works Group designed and provided construction phase services for the water
line project recently completed in the Lake Forest Hills Subdivision and performed in an
exemplary manner.
Staff recommends award of the contract to the Civil Works Group in the amount of
$30,610.

We appreciate the opportunity to work again with you and your staff. The following
engineering services are offered for the project:
- Design survey by Area Surveying (See attached proposal).
Owner to locate existing valves.
- Prepare preliminary layout of approximately 7,000 LF of 6" waterline and 76
service connections. Submit layout to city staff for review.
- Meet with city staff to review layout.
- Prepare construction plans and documents. Submit plans and documents to
city staff for review and approval.
- Meet with city staff to review comments.
- Prepare final construction plans and documents.
- Assist owner in taking of bids for proposed improvements.
- Prepare contract documents for execution.
- Attend pre -construction meeting with owner's staff and contractor.
- Meet with owner's staff to discuss construction problems as needed,
- Make final inspection with owner and contractor.

Grapevine lake Estates
- Prepare construction record drawings from information provided by
contractor.
- Furnish city with one set of mylar drawings, three sets of blue lines, and one
copy of drawings on disk in AutoCAD 2000 format.
The fee for the surveying and engineering services are $12,985.00 and $17,625.00
respectively. The total fee is $30,610.00, plus reimbursable expenses, including without
limitations, reproduction, postage, and shipping.
