FUNDING SOURCE: Funds for this service are budgeted in account 325-48860-312-08 Capital Equipment/Machinery and EquipmenUParks Maintenance in the amount of $36,000. BACKGROUND: In accordance with purchasing policy, Staff solicited written quotations for this purchase. House Bill 3506 raised the formal bid limit requirement from $25,000 to $50,000. Effective September 1, 2007, formal bids and advertisements are not required for purchases under $50,000. This purchase is for a 2008 Trencher Tractor with attachments for the Parks Maintenance Division. The previous trencher (unit 12379) was scheduled to be replaced several years ago. Instead, it was removed from the fleet inventory and not replaced. The Parks Maintenance Division currently spends between $7,000 and $10,000 in rental fees each year for trencher rentals. Council previously approved this equipment for purchase during this fiscal year. Request for quotations were sent to five vendors with three vendors responding. The lowest quotation was from Zimmerer Kubota and Equipment, Inc. This vendor met all of the specification requirements and is qualified to receive an award. A copy of the bid tabulation is attached for review. Staff recommends approval to award an order to Zimmerer Kubota and Equipment, Inc. for the purchase of the Trencher Tractor in the total amount of $31,766.
