SUBJECT: APPROVAL OF A RESOLUTION FOR THE PURCHASE OF
HVAC PREVENTIVE MAINTENANCE SERVICE
RECOMMENDATION:
City Council to consider approval of a Resolution for the purchase of HVAC preventive
maintenance service from The Brandt Companies, LLC. through a Cooperative
Agreement with the State of Texas Co-op Purchasing Program.
FUNDING SOURCE:
Funding for this purchase is currently available in accounts 115-43350-350-03 (CVB
Building Maintenance) for $11,106.00 and 100-43350-118-2 (General Fund Building
Maintenance) for $13,904.00 for a total amount not to exceed $25,010.00.
BACKGROUND:
This purchase will be made in accordance with an existing Interlocal Cooperative
Agreement with the State of Texas Co-op Purchasing Program as allowed by Texas
Local Government Code, Section 271.081, 082 and 083 State Cooperative Purchasing
Program.
Bids were taken by the cooperative and a contract was awarded to The Brandt
Companies, LLC. The Facility Services staff reviewed the contract for specification
compliance and pricing and determined that the contract would provide the best product
and pricing for meeting the needs of the City. The Interlocal Contract for Cooperative
Purchasing satisfies all bidding requirements under the Texas Local Government Code.
This purchase will provide a full service maintenance agreement and repairs to extend
the life of the HVAC equipment located at the Palace Theatre and City Hall. Scheduled
HVAC preventive maintenance will be performed bimonthly (six times per year).
The preventative maintenance program will include inspection and evaluation to identify
maintenance or repair requirements. If repairs are needed, the contractor will perform
repairs at no additional cost.
Staff recommends approval.

AN ESTABLISHED COOPERATIVE
PROVIDING CI ATE
the City of Grapevine, Texas is local government in the State of
Texas and as such is empowered by the Texas Local Government Code, Sections
271.081, 271.082 and 271.083 to purchase item under state contract therefore
satisfying n state law requiring local governments to seek competitive bids; and
the State of Texas term contracts are a qualified purchasing
cooperative program as authorized under the Texas Local Government Code; and
the City of Grapevine, Texas, has established a Cooperative
Agreement with the State of Texas, # M2201 and wishes to utilize a contract eetin II
Late of Texas requirements;
WHEREAS, the t to of Texas has an established term contract TXMAS -10-
0 070 for Mechanical, Electrical and Plumbing Services with The Brandt Companies,
LLC.
NOW, THEREFORE, BE IT RESOLVED CITY COUNCIL OF THE CITY
GRAPEVINE, TEXAS.-
Section 1. That all matters stated in the above preamble are true and correct
are incorporated herein as if copied in their entirety.
Section 2. That the i Council of the City of r pevine authorizes the Facility
Services a rt t to purchase preventive maintenance services for the Palace
Theatre and City Hall from The Brandt Companies, LLC in n amount not to exceed
$25,010.00.
Section 3. That the City Manager, or his designee, is authorized totake all steps
necessary to consummate the purchase of said preventive it nce services.
Section 4. That this resolution shall take effect from after the date of its
passage.
