LIBRARY DIRECTOR STATE OF TEXAS COUNTY OF TARRANT CITY OF GRAPEVINE The Library Board of the Grapevine Public Library of the City of Grapevine, Texas met in Regular Session on the 15" day of July, 2013 at 6:30PM in the Board Room, Grapevine Public Library, 1201 Municipal Way, with the following members present to -wit: Janice Cook Lynda Brown Susan Peabody Fred Sheffler Debbie Venable Bruce Rider Chris Coy Chair Member Secretary Member Member Member City Council Liaison constituting a quorum, with the following members of the City Staff: Janis Roberson CALL TO ORDER Library Director Janice Cook called the meeting to order at 6:29PM. Citizen Comments - None Oath of Office was administered by City Secretary Jodi Brown to Lynda Brown, Janice Cook, and Debbie Venable. Election of Officers -• Bruce Rider moved to re-elect Janice Cook to Chairman and Susan Peabody to'Secretary for the coming year. Lynda Brown seconded the motion. Motion prevailed by the following vote: Ayes: Unanimous Nays: None Motion by Debbie Venable, seconded by Fred Sheffler, to approve the April 15, 2013 minutes as submitted prevailed by the following vote: Ayes: Unanimous Nays: None Update on Texas State Library Legislature R@ -quest Janis referenced a letter written by Texas Senator Jane Nelson that funding was approved to support the school library database. Also approved was an increase in salary for the state librarian director. (This position is currently vacant.) No cuts were administered. Wolicy ManualSoard Guidelines far Minutes 2013 There was no formal action taken. Update on the 2013-2104 Budget A flat budget was submitted with the exception of an approximate $10,000 increase in Materials. There was no formal actlon taken. Update on Changes to Automation System An update to Symphony was installed. On 05129113, "Buy It Now" was implemented though no marketing of this new fund-raising vehicle has yet been accomplished. "Buy It Now" is an Amazon.com donation vehicle where a small percentage of sales is donated to the Grapevine Public Library. During June 2013, $1.63 was donated via this new link. Spread the word about this new link, which is available solely via the City/Library website. Enterprise (online catalog system) was upgraded on 07112113. There was no formal action taken. Discussion on Reguest to Remodel Area Janis has submitted a $90,000 request to remodel the Reference Workroom and office into five study rooms and add additional security cameras. This would double the capacity of study rooms, The funding source will be the Quality of Life Fund. The request is under consideration_ She also submitted a request to remodel in Year 2015 an area of approximately 1500 square feet. The early cost estimate is $400,000. There was no formal action taken. Discussion on Summer Reading Club The big kickoff was the Dinosaur George exhibit which brought in about 1500 visitors during fifteen hours. Also, 2,600 items were checked out during that exhibit. There has been excellent participation in the summer reading club_ With the wonderful local business support this year, eighteen to nineteen prizes are awarded each week. There was no formal action taken. Discussion on a Grant OcaortuniN Best Buy Mobile offers a grant for teenagers using technology. Our library is eligible to apply again this year. The grant money ($7,000) would be used to purchase six computers and six charginstations and the purchase of UTD's Robotic Training/Building program. September 15thg is the date Janis will learn if our library is awarded the grant money. There was no formal action taken. The next quarterly board meeting is scheduled for October 21, 2013 at 6:30PM. ADJOURNMENT Bruce Rider, seconded by Lynda Brown, offered a motion to adjourn the meeting at 7:23PM.
