SUBJECT: APPROVAL TO RENEW AN ANNUAL CONTRACT FOR
MANAGED DATA STORAGE SERVICES
RECOMMENDATION:
City Council to consider approval to renew an annual contract for managed data storage
services to One Safe Place Media Corporation.
FUNDING SOURCE:
Funding for this purchase is currently available in account 100-44540-101-2 (General
Fund/ City Manager 1 Technology/ Professional Services) for $42,000.00.
BACKGROUND:
This request is to renew an annual contract, Bid 352-2011, with One Safe Place Media
Corporation as the only source for data backup services. Council originally approved this
procurement and deemed it a sole source on January 18, 2011.
This service is for disaster recovery of all City data stored in an electronic form. The data
is located and stored in fully encrypted form in a secure data center off site. The City
and the daily transfer of new and changed data occur nightly over the Internet with full
data encryption. This service keeps the City in compliance with numerous Federal, State
and industry compliance standards and laws, and guarantees that we will not lose any
data due to a disaster or equipment failure. This service also includes a "warm site"
where the City can set up network equipment used to provide computer services in the
event of a major disaster that damages City data and renders our ability to provide
computer services inoperable. One Safe Place Media Corporation has been contracted
for this service for a number of years and due to the necessary data history was
considered a sole source by the City Attorney prior to Council approval last year. If
approved, this would be the second of four, one year renewal periods beginning on
October 1, 2012 and continuing through the fiscal year ending September 30, 2013.
Staff recommends the renewal of contract Bid 352-2011 to One Safe Place Media
Corporation for Managed Data Storage Services.
