SUBJECT: APPROVAL TO RENEW AN ANNUAL CONTRACT FOR
MICROSOFT PRODUCT LICENSES
RECOMMENDATION:
City Council to consider approval to renew an annual contract for Microsoft product
licenses from SHI Government Solutions, Inc. through an interlocal agreement with the
State of Texas Department of Information Resources (DIR).
FUNDING SOURCE:
Funding for this purchase is currently available in accounts 325-44500-101-02-170001-0
(IT Software License and Maintenance Fees) and 117-44500-209-4 (IT Software License
and Maintenance Fees) for a total amount not to exceed $241,434.00.
BACKGROUND:
This purchase is to renew and upgrade our Microsoft Enterprise Licensing Agreement.
This licensing agreement includes the Microsoft Office suite, the virtual desktop
environment, and the Microsoft Outlook email system. The upgrade will allow us to
consolidate the Microsoft licensing and provide City users with the ability to benefit from
upgraded email features such as enhanced contact management, presence, and online
collaboration. This is the last renewal available under this DIR contract.
This purchase will be made in accordance with an existing interlocal agreement with the
State of Texas Department of Information Resources (DIR) as allowed by Texas Local
Government Code, Chapter 271 and Texas Government Code, Chapter 791 .
Bids were taken by the cooperative and a contract was awarded to SHI Government
Solutions, Inc. The Purchasing and IT staff reviewed the contract for departmental
specification compliance and pricing and determined that the contract would provide the
best service and pricing for meeting the needs of the City.
Staff recommends approval.
