CALL TO ORDER Chairman Curtis Ratliff called the meeting to order at 4:00 p.m. II. CITIZEN COMMENTS Citizen Ross Bannister, 424 Ball Street, Grapevine, Texas III. APPROVAL OF MINUTES Balla Wright made the motion to accept the minutes as written frothe March 19, 2014 meeting; Mike Lease seconded the motion, which prevailed in the follo ing vote: Ayes: All (Ratliff, Stanfield, Wright, Franks, Hewlett and Perkins) Nays: None Absent: (Jensen, Stinson and Vaughn) May 21,2014 GMF Meeting 05.21.14 Melva Stanfield made the motion to accept the minutes as written from the Special Called 'April 25, 2014 meeting; Balla Wright seconded the motion, which prevailed in the following vote-.- I--- Ayes, ote:Ayes: All (Ratliff, Stanfield, Wright, Franks, Hewlett and Perkins) Nays: None Absent: (Jensen, Stinson and Vaughn) IV. OLD BUSINESS Vice Chairman Stanfield gave the Nash Farm activity and Farmhand reports; the board agreed they only need to see the final re-cap page of the Farmhand report. Melva reported on the Spring Into Nash event noting the value of the experience had been raised with no long lines and good value for coupon activities. The sponsorships from Sprint, Xact Business Solutions and AMBUCS' food sales made the net profit break even, showing coupon sales were not making money on activities, only covering costs. A six year comparison of Spring Into Nash from 2008— 2014 proved how significant the sponsorships are. Nash Farm Manager Jim Lauderdale reported he had located Gulf Coast sheep, a heritage breed, in Morehead, Oklahoma at Ragged Hills Ranch. One male and two females will come to the Farm in late June. Chairman Ratliff announced the continuation of the Strategic Session would meet on June 19 at 5 p.m. He advised all to come prepared to contribute and he expected to see all members there. He announced the Candlelight Tour of Homes ad hoc committee would meet in the CVB conference room on May 30, 2014 at 4 p.m. V. NEW BUSINESS Chairman Ratliff announced the Association for Living History, Farm and Agricultural Museums (AHLFAM) Annual Conference would meet June 21-25, 2014 in Heritage Park Historical Village, Calgary, Alberta Canada; and the ALHFAM Regional Meeting October 9 -11, 2014 in Tahlequah, Oklahoma. He invited all who would like to come. For those interested, the Williamsburg Conference June 19-23, 2015 would be a worthwhile adventure. Vice Chairman Stanfield reminded all to plan for the National Trust Conference 2014 in Savannah, Georgia November 10-14, 2014. Staff recommended the Nash Farm Public Use Policy as approved by the Nash Farm Committee. Melva explained the committee had discussed at length; Curtis said the logistics accommodated many issues. They discussed the hours could be changed or even fluctuate over time with more volunteers or staff; Mike Lease said good work with much input. Melva Stanfield made the motion to adopt the Nash Farm Public Use Policy as proposed; Janet Perkins seconded the motion, which prevailed in the following vote: Ayes: All (Ratliff, Stanfield, Wright, Franks, Hewlett and Perkins) Nays: None Absent: (Jensen, Stinson and Vaughn) 2 May 21,2014 GHF Meeting 05.21.14 Staff recommended to accept (Bobby Flanagan's son-in-law) Paul Fields',of Lambert Landscape, gift of eight to 12 peach and pear trees, to study the soil and to plant in the west side of the crop area. This proposed location for the orchard would be inside the fence to protect from animals and with better access to the windmill for irrigation. Melva Stanfield added this location would leave the street view of the Farm open, plus would shield the on- property view of cars and traffic. Balla Wright made the motion to accept the relocation of the orchard and to accept the fruit trees and services provided as proposed; Janet Perkins seconded the motion, which prevailed in the following vote: Ayes: All (Ratliff, Stanfield, Wright, Franks, Hewlett and Perkins) Nays: None Absent: (Jensen, Stinson and Vaughn) Balla Wright reported on the Brick Pavers, she showed the new rack card now available at the Farm, Palace Theatre and around town with brochures, saying the word is out on how to personalize your own brick. Melva complimented the work on the rack card. Staff reported on Nash Farm upcoming events with Dairy Day on June 14 at 10 a.m. — 12 noon and the First Friday for July will celebrate our Independence Day. Volunteer wagon loaders and those who can hand-crank ice cream are needed to support the Farm. Those who have not signed their Volunteer Waiver form should sign now as it must be renewed annually. VI. DISTRIBUTION OF LIAISON REPORTS Grapevine Historical Society Liaison Report-Joe Ann Standlee, President Joe Ann Standlee reported the Society continues to work on the Grapevine Ice Company museum. The Captain Molly Corbin Chapter of the Daughters of the American Revolution (DAR) honored the Grapevine Historical Society with the National Preservation Award for their project of cleaning and restoration of the museum's items. Mayor Tate presented the Grapevine Historical Society a proclamation declaring May 24, 2014 as Grapevine Historical Society Day. The Society will honor Veteran's Day on May 24, 2014 from 2 p.m. —4 p.m. with Mayor Pro-Tem Shane Wilbanks speaking and a World War I uniform will be presented; all are invited attend. Grapevine Convention & Visitors Bureau Liaison Report-Paul W. McCallum P.W. McCallum thanked all who were involved in the Main Street Days event. The introduction of the "Craft Brew Experience" increased attendance and revenue streams. He credited the success to the interest in handcrafted items, the Metroplex understanding the roadways are now open and confidence in the economy benefitted vendors and merchants. The "Craft Brew Experience" began before the festival with four pairing dinners and the participation of 36 breweries, eight brew masters and six keg and cask tappings. The children's area was relocated to the Grapevine Vintage Railroad area and expanded. The combination of Legoland and Sea Life, the rides for small children and the midway's new streamlined layout all contributed to this area_ Liberty Park is now branded as a wine area; stage sponsor DFW Audi was very happy and they want to return; the Light Crust Doughboys western swing band played in Ted R. Ware Plaza and the new booking talent 3 May 21,2014 GHF Meeting 05.21.14 agency brought good feedback on the entertainment. The Main Street Days revenues were pre-recession and pre-construction for us; with a decent Friday, really good Saturday and a great Sunday. It was a very, very solid Main Street Days with the Craft Brew Experience's pairing dinners, education and brew masters as a hook to draw in a market looking for a more socially acceptable way to experience beer. Melva Stanfield noted the outdoor conditions of"best weather ever". P.W. agreed with her saying certainly the best in his 40 years of experience and said two vendors told him it was the first festival to not have two to three customers act ugly; with 30 —35 events a year, this was the first time for someone to not upset a member of their team. P.W. asked festival goers on the street how they felt about the bag checks at the gates; he was answered with the checks gave a feeling of security, as being in a safe environment. This reflects so well on our community to have more people return to shop and dine in Grapevine. Again, he thanked all for their help in making a great Main Street Days 2014, VII.
