David Klem'piri Manager, Heritage Programs & Preservation GHF Meeting 07.17.13 STATE OF TEXAS COUNTY OF TARRANT CITY OF GRAPEVINE The Grapevine Heritage Foundation Board of Directors met at 4:00 p.m. on Wednesday, July 17, 2013 in the Grapevine Convention &Visitors Bureau, 2nd Floor Boardroom, 636 South Main Street, Grapevine, Texas. CALL TO ORDER Chairman Curtis Ratliff called the meeting to order at 4:00 p.m. 11. CITIZEN COMMENTS There were no citizen comments. Ill. OATH OF OFFICE New board members Frances Jensen and Ron Hewlett took the Oath of Office and the reappointed board members Patricia Stinson, Sue Franks taking the Oath of Office with Don Vaughn absent for the oath. City Council Liaison Mike Lease addressed the new and returning board members with their duties. He noted all board member attendance is recorded and all members were to work as liaisons of the Foundation attending other board and commission meetings, giving the First Friday Film pitch at the Palace Theatre, as Leads at the Nash Farm events and ambassadors of the Foundation. Mike asked all to be dedicated members of the board as he pledged to rededicate himself. 1 July 17,2013 GHF Meeting 07.17.13 Chairman Ratliff explained the upcoming National Trust Conference. He said David Klempin always attends each year on behalf of the City plus a number of board members, at their own expense, faithfully attend each year. Chairman Ratliff said we know we are doing the presentation right as we see some cities struggle; adding the City of Grapevine has put many dollars into preservation. He encouraged the new board members to attend. This year's conference will be in Indianapolis, Indiana. Also the Association for Living History, Farm and Agricultural Museums who promote history and heritage through museums will have their annual conference next year in Calgary, Canada and the following year in Williamsburg, Virginia. All members should consider attending. Council Liaison Lease called for a brief biography from the new members: Frances Jensen told all she is a native Texan born in Houston and she has been a Grapevine resident for the past 17 years. Frances is married and the mother of two six year olds and an 11 year old. She has worked for an engineering firm in their Dallas regional offices corporate communications for 10 years. Ron Hewlett has lived in Grapevine for six years; he retired from designing power systems for TXU after 31 years service. Ron is the treasurer for AMBUCS and has served scheduling volunteers for the Festival & Events team of the Grapevine Convention &Visitors Bureau. The board warmly welcomed the two new members. IV. APPROVAL OF THE MAY 15, 2013 MINUTES Motion by Balla Wright, seconded by Melva Stanfield, to approve the May 15, 2013 minutes as submitted, which prevailed by the following vote: Ayes: All (Ratliff, Stanfield, Hewlett, Jensen, Lawlis, Lease, Franks, Perkins, Stinson and Wright) Nays: None (Vaughn absent) IV. OLD BUSINESS Patricia Stinson gave the Membership Development Report; she confirmed the letters for renewal had been mailed out; after three months, no response members will be moved to inactive status. The committee will no longer send out 450 letters for renewal of membership. As of July 17, 2013 current membership is 219 active members. Pat handed out membership applications for the board to note the different membership levels and their dues. David Klempin gave the update for the Nash Farm Land Use signatures. He said staff and board members planned to go door to door to contact each homeowner not signed. Chairman Ratliff will meet on Tuesday with the homeowner's president. P.W. McCallum explained for the benefit of the two new board members; a lawsuit had been filed against the Grapevine Heritage Foundation and the City when the Foundation had wanted to bring in two historic buildings. It was found through the process of the civil lawsuit, unbeknownst to the Foundation the developer had placed deed restrictions on the Nash property for full architectural control over the Farm. The Foundation needs architectural control over the property; they have done their part to come to agreement with the homeowners regarding the fence, buildings and number of animals kept on the property. 2 July 17,2013 GHF Meeting 07.17.13 Melva Stanfield passed out the activity report saying the report is a good recap to understand "who" and "why" the Nash Farm is being used; she pointed out the 7, 618 students visiting from schools proved the Farm as an educational facility. Jim Lauderdale gave the third quarter Farmhand updates explaining where and how the hours were used and reporting a total 1,021 volunteer hours through this quarter. Melva asked the board members to study this report and personally thank those who had contributed to the Farm. The discussion of Nash Farm recognizing in-kind donations and volunteers with a brick paver was decided to remain as in the past; special acts and donations should be awarded by a certificate and recognition before the entire assembly at the annual meeting of the Foundation. Motion by Pat Stinson, seconded by Balla Wright, to table discussion of using the brick pavers as an award which prevailed by the following vote: Ayes: All (Ratliff, Stanfield, Hewlett, Jensen, Lawlis, Lease, Franks, Perkins, Stinson and Wright) Nays: None (Vaughn absent) V. NEW BUSINESS Nathan Loftice presented to the board the Texas Trees program Trammell Crow Sr. had started as part of the The Trinity Trust.org. The board asked staff to develop a plan to pull this concept together and to bring back before the board as an action item. David Klempin presented the Grapevine Heritage Foundation FY2014 Budget. Motion by Melva Stanfield, seconded by Pat Stinson, to accept the FY2014 Budget as presented which prevailed by the following vote: Ayes: All (Ratliff, Stanfield, Hewlett, Jensen, Lawlis, Lease, Franks, Perkins, Stinson and Wright) Nays: None (Vaughn absent) VI. DISTRIBUTION OF LIAISON REPORTS Grapevine Historical Society Liaison Report-Joe Ann Standlee, President President Joe Ann Standlee reported much excitement with the new museum. She thanked the Grapevine Convention &Visitors Bureau for loaning the Society the space in the American Box building for the cleaning of museum items before they are transferred into the new museum space. She reported they were very happy 12 of their members had come for training. Sue Franks asked for the move-in date; Joe Ann said they have to get all items clean before transferring into the new space. 3 July 17,2013 GHF Meeting 07.17.13 Grapevine Convention &Visitors Bureau Liaison Report-Paul W. McCallum P.W. McCallum reported the Convention Sales group would have two important missions in the Northeast the following week; and on the west coast the Asia receptive operators now have five direct flights a day out of Asia in to the Dallas Fort Worth International Airport. He reported a multi-level marketing group would bring 9,500 people to Grapevine; the group markets only one item, an anti-aging product. Also visiting would be a group of 1,100 and another group of 600 visitors in Grapevine. P.W. told the board, their mission to Sister City West Lothian had been the best three days of weather Scotland has had in a century; unfortunately Grapevine's golf team did not win, losing the Gallagher Cup to the Scots. Three new carriage coaches are now in town, two new shuttle buses will allow expansion into north Irving. With the new curator, Lynn Rushton, the Settlement to City museums will have a schedule of being open on Tuesday and Thursdays from 10 a.m. —2 p.m. Coming soon, the Grapevine Historical Society's museum will join the educational center. The southwest premiere of The Little Tin Man will be this Friday evening in the Palace Theatre; after the film the actors will be there to discuss the film and answer questions. GrapeFest's theme this year will be Discoveries, come and discover Grapevine, discover the shopping, discover the dining and wineries and great new discoveries in arts and crafts. GrapeFest will !tick off on Saturday September 7 with the Italian CarFest at Nash Farm. The evening of September 7, the Texas Wine Tribute dinner has been moved up so the many who are needed on the street the final Saturday night of GrapeFest may attend the black-tie gala in the CVB's Grand Hall. The dinner will feature the Tall in Texas Award to recognize an outstanding wine grower who has nurtured and developed the Texas wine industry. This year Paul and Merrill Bonarrigo, of the Messina Hof Winery & Resort established in 1977, will be recognized. P.W. spoke of their many medal winning wines all over Texas and their dedication to the industry, always in front giving. VII.
