HomeMy WebLinkAboutItem 22 - Laserfiche Software Support MEMO TO: HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL FROM: BRUNO RUMBELOW, CITY MANAGER�� MEETING DATE: SEPTEMBER 19, 2017 SUBJECT: APPROVAL TO RENEW AN ANNUAL CONTRACT FOR LASERFICHE SOFTWARE SUPPORT RECOMMENDATION: City Council to consider approval to renew an annual contract for Laserfiche software support with MCCi. FUNDING SOURCE: Funding for this purchase will be available in account 100-44500-103-1 (IT License and Maintenance Fees) for FY 2018 in the amount not to exceed $36,734.00. BACKGROUND: Laserfiche is a system that manages digital records in a way that makes them easily searchable, retrievable, and shareable while adhering to common record management principles. Laserfiche has been adopted as the citywide document management system. Development Services, City Secretary's Office, Parks and Recreation, Fire, Police, Fiscal Services, Human Resources and Public Works are currently using this system. This will renew the annual software support for all licenses within the City. This renewal is an increase of$9,131.40 due to the additional licenses and modules that were purchased in Fiscal Year 2017. IT, the City Secretary's Office and Purchasing reviewed the contract for departmental specification compliance and pricing and determined that this contract would provide the best service and pricing for meeting the needs of the City. If approved, this will be the fourth renewal. Staff recommends approval. TB/BS
