HomeMy WebLinkAboutItem 15 - Preventative Roof Maintenance Program Contract MEMO TO: HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL FROM: BRUNO RUMBELOW, CITY MANAGER' MEETING DATE: MARCH 6, 2018 SUBJECT: APPROVAL TO RENEW AN ANNUAL CONTRACT FOR A PREVENTATIVE ROOF MAINTENANCE PROGRAM RECOMMENDATION: City Council to consider approval to renew an annual contract for a preventative roof maintenance program with Tremco/Weatherproofing Technologies, Inc. FUNDING SOURCE: Funding for this purchase is currently available in account 174-74004-118-012 (Roof Program), 210-43350-340-01 (Lake Enterprise Fund/ Golf Course Pro Shop/ Building Maintenance), 200-43350-530-2 (Utility Enterprise Fund/ Water Treatment Billing & Collections/ Building Maintenance) for an annual estimated budgeted amount of $30,421.52. BACKGROUND: This contract will provide a preventative maintenance program to extend the life of the roofs before a complete replacement is required. A comprehensive roof program is designed to maximize the life of the roof, decrease repair expenses, and accurately forecast capital needs for roof replacements. The preventative maintenance program will include initial inspection and evaluation to identify maintenance, repair or replacement requirements. The program includes a database reporting system allowing City staff to accurately forecast and budget for current and future repair and replacement needs. Bids were taken by the Cooperative and five multiple award contracts were established with Tremco/Weatherproofing Technologies, Inc. being one of the recipients. Staff from Facilities and Purchasing reviewed the contract for specification compliance and pricing and determined that the contract would provide the best service and pricing for meeting the needs of the City. This contract will be made in accordance with an existing Cooperative Agreement with The National Intergovernmental Purchasing Alliance (National IPA) as allowed by Texas Local Government Code, Section 271.102, Cooperative Purchasing Program. The contract was for an initial one-year period with three, one-year renewal options. If approved, this will be the final renewal available. Staff recommends approval. CH/LW
