SUBJECT: APPROVAL TO RENEW AN ANNUAL SOLE SOURCE CONTRACT FOR
MULTIMEDIA SERVICES
RECOMMENDATION: City Council to consider the renewal of an annual sole source contract for
multimedia services with Swagit Productions, LLC for streaming anc
recording of City meetings.
FUNDING SOURCE: Funds for this purchase are available in account 100-44540-102-001
(Professional Services) for an amount not to exceed $16,200.
BACKGROUND: Since 2014, Swagit has streamed and archived the City Council and
Planning and Zoning Commission meetings. In 2018, they began audio
recording the Board of Zoning Adjustment, Building Board of Appeals and
Historic Preservation Commission meetings.As of August 22, the Historic
Preservation Commission meetings are also live streamed and archived
on the City's website. There is no additional charge for these added
meetings. The contract allows for Swagit Productions to manage the
camera and audio remotely.
This procurement was made as a sole source in accordance with Local
Government Code Chapter 252, Subchapter B, § 252.022. General
Exemptions (a)(7)(A). The contract was for an initial one-year period with
optional, one-year renewals. If approved, this will be the fourth renewal
option.
Staff recommends approval.
