SUBJECT: APPROVAL TO RENEW AN ANNUAL SOLE SOURCE CONTRACT FOR
MANAGED DATA STORAGE SERVICES
RECOMMENDATION: City Council to consider the renewal of an annual sole source contract for
managed data storage services with One Safe Place Media Corporation
for the IT Department.
FUNDING SOURCE: Funds for this purchase are available in account 100-44500-101-002
(General Fund/ City Manager / Technology/IT License & Maint Fees) for
an amount not to exceed $22,056.
BACKGROUND: The purpose of this contract is for disaster recovery of all City data stored
in an electronic form. The data is located and stored in fully encrypted
form in a secure data center off site. The daily transfer of new and
changed data occur nightly over the Internet with full data encryption. This
service keeps the City in compliance with industry standards and Federal,
State and Local Laws which require that the City will not lose any data
due to a disaster or equipment failure.
This procurement was made as a sole source in accordance with Local
Government Code Chapter 252, Subchapter B, § 252.022. General
Exemptions (a)(7)(A). The contract was for an initial one-year period with
optional, one-year renewals. If approved, this will be the seventh renewal
option.
Staff recommends approval.
