SUBJECT: APPROVAL OF THE PURCHASE OF DATACENTER BACK UP
SOLUTION
RECOMMENDATION: City Council to consider a resolution authorizing the purchase of Veeam
on-site datacenter back up software for the City's datacenter.
FUNDING SOURCE: Upon approval, funds will be available in the General Fund account
number 100-44500-101-002 in an amount not to exceed $25,376.00 under
an interlocal government contract.
BACKGROUND: The City of Grapevine's current datacenter backup solution only backs up
data to an offsite location. While this is good for restoring individual files or
small amounts of application data, it does not allow the City to restore
entire servers in the event of a failure or catastrophic disaster. Currently,
information technology would need to install the individual applications
(which include over 120 specific applications) and then restore all of the
data for those applications from the offsite location. This restoration can
take 3-5 days per server, which in critical response, is not acceptable. The
City currently has over 200 virtual servers.
If the City suffered any catastrophic loss or failures of the datacenter, it
could take months to be fully functional again. It is necessary to augment
our current backup strategy to reduce downtime and plan for disaster
recovery. The Veeam on-site backup software will allow IT to make copies
of all datacenter servers, allowing them to be restored quickly. With this
on-site solution, the datacenter could be fully functional within hours of a
catastrophic loss or failure.
Staff recommends approval.

RESOLUTION NO. 2018-088
A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF
GRAPEVINE, TEXAS, AUTHORIZING THE CITY MANAGER
OR THE CITY MANAGER’S DESIGNEE TO PURCHASE
VEEAM ON-SITE DATACENTER BACKUP SOFTWARE
WHEREAS, the City of Grapevine, Texas is a local government in the State of
Texas and as such is empowered by the Texas Local Government Code, Chapter 271
and Texas Government Code, Chapter 791 to enter into an interlocal agreement with
other qualified agencies in the State of Texas; and
WHEREAS, The Local Government Purchasing Cooperative (GSA) is a qualified
purchasing cooperative program as authorized by Texas Local Government Code,
Chapter 271 and Texas Government Code, Chapter 791; and
WHEREAS, the City of Grapevine, Texas has established an interlocal agreement
with The Local Government Purchasing Cooperative (GSA) and wishes to utilize
established contracts meeting all State of Texas bidding requirements; and
WHEREAS, The Local Government Purchasing Cooperative (GSA) has an
established contract No. GSA GS-35F-303DA, for Veeam On-Site Datacenter Backup
Software; and
WHEREAS, the City of Grapevine, Texas has a need for the purchase of Veeam
on-site datacenter back up software for the City's datacenter; and
WHEREAS, all constitutional and statutory prerequisites for the approval of this
resolution have been met, including but not limited to the Open Meetings Act; and
WHEREAS, the City Council deems the adoption of this resolution to be in the best
interests of the health, safety, and welfare of the public.
NOW, THEREFORE, BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY
OF GRAPEVINE, TEXAS:
Section 1. That all matters stated hereinabove are found to be true and correct
and are incorporated herein by reference as if copied in their entirety.
Section 2. That the City Council of the City of Grapevine authorizes the
purchase of Veeam on-site datacenter back up software for the City's datacenter through
an interlocal agreement with The Local Government Purchasing Cooperative (GSA) for
an amount not to exceed $25,376.

Section 3. That the City Manager or his designee is authorized to take all steps
necessary to consummate the purchase of said datacenter backup software.
Section 4. That this resolution shall take effect from and after the date of its
passage.
