David Klempin Manager, Heritage Programs & Preservation 15 May 2019 STATE OF TEXAS COUNTY OF TARRANT CITY OF GRAPEVINE The Grapevine Heritage Foundation (GHF) Advisory Board met at 5:00 p.m. on Wednesday, May 15, 2019 in the Grapevine Convention & Visitors Bureau, 2nd Floor Boardroom, 636 South Main Street, Grapevine, Texas 76051 for their regular scheduled monthly meeting. CALL TO ORDER Chairman Curtis Ratliff called the meeting to order at 5 p.m. and thanked all for attending. Managing Director Paula Newman introduced the new Palace Arts Center (PAC) Manager Jessica Farish. Jessica told the group she was excited to be at the PAC saying she had grown up and now lives in Grapevine and had eight years' experience with theatre production at Six Flags Over Texas and had taught at Fort Worth's Casa Manana Theater and she is the mother of two boys ages four and five years old. 1 May 15,2019 15 May 2019 II. CITIZEN COMMENTS There were no citizen comments registered. Any person who is not scheduled on the agenda may address the Historic Preservation Commission under Citizen Comments by completing a Citizen Appearance Request form. In accordance with the Texas Open Meetings Act, the Advisory Board is restricted in discussing or taking action during Citizen Comments. III. APPROVAL OF MINUTES Melva Stanfield made the motion to accept the minutes as written from the April 17, 2019 meeting. Janet Perkins seconded the motion, which prevailed in the following vote: Ayes: 6 (Ratliff, Stanfield, Wright, Perkins, Hummer and Jensen) Nays: 0 None Absent:2 (Franks and Stinson) IV. OLD BUSINESS Secretary Janet Perkins reported membership at 188 active members noting the drop from last month's active membership total by 35, saying she had gone through the membership files and corrected those no longer valid. In May, there was $9,000 received in donations and sponsorships. Vice Chairman Melva Stanfield gave the Nash Farm report of 192 attending the April First Friday event; 10 tours for a total of 858 guests; three rentals totaling 190; the American Girls "Sleepover" of 72 girls. The Spring Into Nash event was known as "Rain Into Nash" with only 110 visitors braving the rainy day; the Farm to Fork Supper on April 26 with 80 for the dinner; May's First Friday program with 77 attending; two group tours; two Cheese Making Workshops sold out and the 1860s Baseball Game with 186 attending. All outdoor event attendance had been low due to the record setting rains, and when not actually raining the soil was water logged with Lake Grapevine off limits due to high water levels. Farm Manager Cody Jolliff reported receiving 15 Bourbon Turkey chicks; work continued on the Historic Barn with the upcoming Dairy Day demonstrations of milking and cheese and butter making there was a need for volunteers now and again in July for the Annual Ice Cream Social. He announced the Summer Blast "Grapevine Pioneers" programming would have demonstrations in the Cotton Ginner's House; a Farm to Train class, weaving projects, learning to sew bags, studying hand tools to make wooden toys, all to run from June 1 through Labor Day every day from 10 a.m. — 4 p.m. except Mondays. Chairman Ratliff called for any questions or discussion — there was none. 2 May 15,2019 15 May 2019 Treasurer Balla Wright reported all 2019 Sponsorships had now been received, and still another update due to two donors for the Farm Supper, total sponsorships now at $20,000 had exceeded their goal. Managing Director of Administration & Operations Paula Newman reported at the Palace Arts Center there were 29 events in April with revenue of approximately $50,000; 24 future events had been booked for a total of 15,826 guests. Back to the Future movies I, II and Ill will be shown to allow festival goers a place to cool down during the 35th Annual Back to The Future Main Street Fest. Upcoming movies at the Palace Theatre include the 1937 Captains Courageous on May 24, 1963 Cleopatra on May 25 and the 1951 An American in Paris on May 31, 2019. Summer Blast movies will be a part of the Grapevine Pioneers program with $4 summer movies on Tuesdays and Wednesdays. V. NEW BUSINESS Chairman Ratliff announced the 2019-2020 Grapevine Heritage Foundation (GHF) proposed budget for questions or to take any necessary action. The board viewed the actual Fiscal Year 2018 numbers as compared to the proposed budget for Fiscal Year 2020. Council Liaison Mike Lease reminded all the mission to keep feet on the street. Secretary Perkins discussed membership revenues and finding the right group to target for membership. Chairman Ratliff called for a motion. Janet Perkins made the motion to accept the 2019-2020 the GHF budget as presented; Courtney Fray seconded the motion, which prevailed in the following vote: Ayes: 6 (Ratliff, Stanfield, Wright, Perkins, Hummer and Jensen) Nays: 0 None Absent:2 (Franks and Stinson) Chairman Ratliff called on Melva Stanfield for an update on the 2019 Candlelight Tour of Homes. Vice Chairman Stanfield said the committee had met last month to discuss each member's previous duties, she called for all on the board to return with 2019 tour home recommendations. She said they now had one group of three businesses in one location for the merchant on the tour and also one homeowner and his family had agreed to be on the tour. P. W. McCallum discussed the pace of restoration in the Township and homes shown. Treasurer Balla Wright asked if the questioning of the tour times been changed from the 4 — 7 p.m. and Chairman Ratliff inquired about any name changes; Vice Chair Stanfield said those two items were in discussion with the committee members. Managing Director Paula Newman reported on the Grapevine Convention & Visitors Bureau saying the Convention Sales were strong in April with future bookings for a total of 20,000 room nights and 12,900 attendees; Destination Services assisted nine groups with approximately 14,000 attendees; the Convention Center hosted 37 events and booked 28 future events with an estimated 15,540 attendees; the Concourse had eight events with 850 attendees. This summer's Pirate's Whimsical Adventure will be open every day of the week, plus added STEM programming with a take-away item for $3 or 3 May 15,2019 15 May 2019 paid for by a portion of the $12 coupon event book if purchased. The pirate theme was a takeoff of the Gaylord Texan SummerFest Peter Pan theme. GVRR ran 62 train excursions in the month of April which included six days of Day Out with Thomas excursions. Council Liaison Mike Lease asked P.W. McCallum for the "status" of Puffy, Mr. McCallum provided updates on Locomotive 2248 (Puffy) and the two recently acquired Vintage Diesel Electric FL9's. He addressed the inspection process and what is required to meet the standards of the Federal Railroad Administration. He also provided the background on the FL9's and what their use will be within the Grapevine Vintage Railroad. Mr. McCallum shared with the board, when the Gaylord group was shopping for a new resort location Grapevine had less to offer with larger offers from Irving and Denver, we had the smallest offer on the table - he took Dave Jones to see the Grapevine Vintage Railroad, Depot and Roundhouse. Dave Jones knew Grapevine was not offering the largest dollar amount, but believed any town that could bring back its railroad heritage and turn it into an attraction (GVRR), then Grapevine was the place for him. Council Liaison Lease thanked Mr. McCallum for his information and the spark in his eye for trains. He thanked the group for his retirement from City Council reception on May 9, 2019. The group thanked Councilman Lease, for his service to the Foundation, Nash Farm and in maintaining Grapevine's heritage to share with others as a major destination, with a standing ovation. Chairman Ratliff and Mr. McCallum asked for a motion to be made for Councilman Lease's service to be written into the permanent record.
