SUBJECT: APPROVAL TO RENEW AN ANNUAL CONTRACT TO
PURCHASE WATER METERS TO BE ORDERED ON AN AS
NEEDED BASIS
RECOMMENDATION:
City Council to consider approval to renew an annual contract for Bid 329-2010 for water
meters to Hersey Meters and HD Supply as primary vendors to be purchased on an as
needed basis.
FUNDING SOURCE:
Funds are available in account 100-14111-0000 General Fund/Warehouse Inventory.
BACKGROUND:
Bids were taken in accordance with Local Government Code Chapter 252, Subchapter
B, Section 252.021 (a) and Section 252.041 (a). The bid was advertised in the Fort
Worth Star Telegram on October 29, 2009 and November 5, 2009.
The purpose of this bid was to establish fixed annual pricing for the purchase of various
types of water meters and registers maintained in warehouse inventory and called for on
an as needed basis by the Public Works Department.
Bids were issued to four vendors with all four vendors responding. Bids were submitted
for 15 items. HD Supply was lowest on eight items and Hersey Meters was lowest on
seven items. The contract was for an initial one-year period with four, one-year renewal
options. If approved, this would be for the first renewal option. Hersey Meters and HD
Supply, have provided this service to the City of Grapevine in the past with satisfactory
results and has agreed to renew the contract with a less than 1% increase in overall
pricing due to the rise of raw material pricing.
Staff recommends approval to renew an annual contract to Hersey Meters and HD
Supply as primary vendors for Water Meters to be purchased on an as needed basis.
