SUBJECT: APPROVAL FOR THE AWARD OF RF13 405-2013 FOR AN
ANNUAL CONTRACT WITH OPTIONAL RENEWALS FOR
HAULING OF DEBRIS AND AGGREGATES
RECOMMENDATION:
City Council to consider approval for the award of RFB (Request For Bid) 405-2013 for
an annual contract with optional renewals with DFW Materials for hauling of debris and
aggregates.
FUNDING SOURCE:
Funding for this purchase is limited to the budgeted amount by various departments in
an estimated amount of $155,000.
BACKGROUND:
Bids were taken in accordance with Local Government Code Chapter 252, Subehapter
B, Section 252.021 (a) and Section 252.041 (a). The bid advertisement was posted in
the Fort Worth Star Telegram on February 21, 2013 and February 28, 2013. The bid
was opened publicly on March 15, 2013. The bid was issued through the eBid system.
There were 74 vendors notified of the bid due to electronic notifications with four other
vendors viewing the bid on the City's website bid notice. Two bids were received with
three vendors submitting a no-bid. (See attached bid tabulation)
The purpose of this contract is to establish fixed annual pricing for hauling of various
types of debris and aggregates that have been removed from and to construction or
maintenance projects performed by City crews. The bid is for a one-year period with
options to renew for four additional, one-year periods.
Based on the evaluation of the bid by the Public Works Department and Purchasing it
was determined that the award be made to DFW Materials, the overall lowest
responsive and responsible bidder. DFW Materials has provided similar service t o t he
City in the past with satisfactory results.
Staff recommends approval.
